Are you looking for an administrative based role with a difference? One you can feel you are making real tangible improvements to quality and care? Our newly formed, friendly, fast-paced team have an exciting opportunity for a Programme administrator to join them.

You will provide the administration support to The Model of Care (MoC/MoC+) implementation team.

You will be joining a fast-paced and changing environment using a range of clinical systems and Microsoft packages. A working knowledge of Microsoft Office packages, including Word, Excel and Outlook will be essential.

Knowledge of the Trust systems such as ESR, Oracle, Trac and Health Roster would be an advantage, however training would be given in respect to any training needs.

You should be able to evidence a flexible response to the programme needs and the ability to think creatively. Experience of working to deadlines, on your own initiative and maintaining strict confidentiality are also essential.

Management Support

  • To provide accurate, prompt and efficient secretarial/administrative support to the MoC/MoC+ team which may include power point presentations/ spreadsheets including complex reports etc.
  • To raise agendas, take and process minutes for the team, attend both internal and external meetings as required by the programme.
  • To provide budgetary support to the MoC/MoC+ team, monitoring spreadsheets, processing invoices, expenditure proposal forms and petty cash.
Communication

  • Contribute to effective communication by liaising with internal and external parties and agencies as required on behalf of MoC/MoC+ team.
  • Deal with correspondence and communication. Prioritise, coordinate and liaise with MoC/MoC+ team.
  • Deal with telephone calls and general enquiries and maintain an efficient message system coordinating with MoC/MoC+ team members. Provide nonclinical information to internal and external customers where necessary.
  • To liaise in a professional manner with each member of the MoC/MoC+ team providing relevant information.
  • To raise agendas, take and process minutes for the MoC/MoC+ team.
  • To ensure that all staff maintain a clear code of conduct and high standards of customer service in terms of dignity, respect and excellent customer services to all internal and external customers.
Service Development

  • To participate in ongoing audits and service development as directed by MoC/MoC+ team and programme manager.
Knowledge & Training

  • Maintaining own professional development portfolio and participating in appropriate training programmes and ensuring annual attendance for mandatory training.
Supervisory Responsibilities

  • To provide induction, support and advice to new/temporary staff as identified by the line manager.
General

  • Diary management as required for MoC/MoC+ team members to include appointments/meetings, regular commitments to assist in organising the workload.
  • Ensure confidential information is retained and stored in line with Trust policy in an efficient and effective manner.
  • Using set procedures to undertake administrative and secretarial functions around legislative procedures.
  • To attend and contribute to all internal/external meetings relevant to the post.
  • To order stores/resources as requested by the MoC/MoC+ team.
  • To liaise with IT departments as delegated by line manager regarding problems
