Job description

INTERNAL APPLICANTS ONLY

Internal secondment/ fixed term contract for 11 months.

This is a crucial role that we need to urgently appoint into to maintain core business continuity within this team. (As this is a secondment/fixed term post, should there be a business requirement to do so, we reserve the right to end the appointment agreement early, and the post

holder will return to their

substantive role).

  • We're looking for an organised and detail orientated Executive PA & Corporate Support to provide effective administrative and secretarial support to the Executive Management and Corporate Services Teams. This is a varied role which includes responsibilities for the provision of PA support and diary management to the Executive Management Team, supporting various corporate events and meetings (including the preparation of meeting packs and taking effective minutes) and the day to day management of office facilities and supplies.
  • As a valued member of the Governance Team, you will display a professional, cando, flexible attitude, whilst maintain confidentiality at all times.

The role - What I'll be doing

  • Providing effective PA support to the Executive Management Team including diary management and the scheduling of internal and external meetings
  • Providing direct PA support to the CEO
  • Liaising with Elected Members, MPs, Board Members, Directors, Senior Officers, Partners and Stakeholders on behalf of the Executive Management Team
  • On a day to day basis, manage the office facilities and supplies contracts and functions including placing orders, checking supplies and checking that invoices are in line with budgets while ensuring value for money is achieved
  • Reconciling personal expenses, mileage, and credit card transactions for the Executive Management Team.
  • Assisting with the coordination of specific projects as directed by the Executive Management Team as required

  • A proven ability to manage multiple priorities within timescales.
  • Excellent communication skills both orally and in writing.
  • Strong communication and relationship management skills with the ability to work as part of a multidisciplinary team and maintain effective working relationships at a variety of levels from Board members, Executive Team members, colleagues, customers, contractors and external partners
  • Facilities management experience
  • The ability to be proactive and to work and act on your initiative
  • Excellent attention to detail
