  • Paris Band 3 Point £23,893 to £25,979 FTE) Pro rata

  • Main Responsibilities:
  • To contribute to the effective running of the school, providing financial and administrative support under the direction and guidance of the School Business Manager, and supporting the Headteacher, Senior Leadership Team and teaching staff in their work.
  • To provide effective and efficient management of school trips and visits
  • To assist in the daytoday financial management of the school
  • Specific Duties:
  • Educational Visits Coordinator:
  • 1. Approval of all educational visits before submission to Headteacher ensuring that all paperwork is checked before the visit takes place.
  • 2. Involved in the planning and management of educational visits including adventure activities led by the establishment's staff.
  • 3. Ensuring that educational visits meet the school's requirements including those of risk assessment and that the school fulfils its health and safety obligations for visits.
  • 4. Maintain EVOLVE and also Train staff on use of EVOLVE (online recording system for educational visits).
  • 5. Keep accurate and appropriate records of Educational Visits in line with policy for audit/monitoring purposes.
  • 6. Produce letters and communications to parents regarding trips and visits
  • 7. Upload trips and visits to MIS systems and produce sales reports for trip leader.
  • 8. Issue refunds for trips and visits and Pupil Premium discounts
  • 9. Work with the visit leader to obtain the consent or refusal of parents and to provide full details of the visit beforehand so that parents can consent or refuse consent on a fully informed basis.
  • 10. Provide visit leaders with student medical information and Healthcare Plans.
  • 11. Organise the emergency arrangements and ensure there is as emergency contact for each visit, ensure school mobile phones are provided.
  • 12. Assist with updating policy and procedures.
  • 13. Be proactive in updating and streamlining processes to assist visit leaders.
  • Finance Assistant
  • 1. To assist will all financial elements of Trips and Visits, collecting monies, producing reports and issuing refunds
  • 2. To maintain effective administration systems to provide an efficient support service to the Finance Office and SBM
  • 3. Support the Finance Officer and SBM with tasks related to finance
  • 4. Using the school's management software, to accurately account for the banking of all trips/visit income and to liaise with staff and pupils in respect of school trip payment requirements.
  • 5. To undertake relevant training to process transactions using Finance software.
  • 6. Pass invoices for trips and visits to Finance Assistant and ensure payments are made in a timely manner
  • 7. Undertake all general administration and housekeeping for the My Child at School system for trips, visits and products and act as point of contact for all parents and staff. Deal with all queries and discrepancies regarding payments.
  • 8. To attend relevant training courses as and when required.
  • 9. To undertake other duties as required by the Headteacher and Senior Leadership Team commensurate with the grade of the post
  • 10. To participate in Performance Management review annually.
  • Administration
  • 1. Cover for absent office staff as required.
  • 2. General administrative tasks for staff, typing, communicating with parents, archiving, filing etc.
  • 3. During the school holiday period the post holder will be expected to sort post, cover reception, answer the telephone, do filing and provide a clerical support service to meet the needs of the school.
  • Other Duties
  • An awareness of school policies in relation to the position held
  • Interacting appropriately and professionally with teachers, colleagues and parent/carers
  • To provide administration support and attend school events such as Open Evenings and Transition events
  • To carry out any other duties as reasonably directed by the Headteacher or his representative.
