Description
1.
JOB PURPOSE
The post holder is responsible for the accurate maintenance of the Institute's accounting records.

2.
JOB ACTIVITIES

SAGE
Enter sales invoices, receipts, purchase invoices, payments, petty cash and credit card expenses.

Maintain sales and purchase ledger, and provide monthly aged debtor analysis.

Supply statements as required.


PAYMENTS
Prepare electronic payments, and maintain payee records.


PAYROLL
Process monthly payroll and set up on-line salary payments.

Submit RT1 information to HMRC.

Set monthly HMRC liability payments.

Enter payroll journal.

Ensure prompt pension contribution payments and maintain all relevant records.

Reconcile pension scheme contributions and provide directly to relevant party.


GENERAL
Check supplier statements and investigate differences.

Deal with queries relating to accounts.


To meet regularly with the Director of Operations and the Resources Manager, and to provide necessary information for Trustees and other relevant staff as requested.


BI-MONTHLY MANAGEMENT ACCOUNTS
Prepare bi-monthly management accounts in liaison with Director of Operations.

Reconcile bank accounts, control accounts.

Process accruals, prepayments and depreciation.

Prepare income and expenditure report and balance sheet.


BUDGET
Assist Director of Operations in preparation of budget.


END OF YEAR AUDIT
To assist in the audit process as necessary.


PERSON SPECIFICATION

Essential

  • Experience of using SAGE 50.
  • Good knowledge of Excel, basic knowledge of Word.
  • Good, clear communications skills.

Desirable

  • Previous experience of working with charities and not for profit organisations.

SALARY AND CONDITIONS OF SERVICE

  • The salary for this post is £30,000-£32,000pa pro rata.
  • It is expected the post will be for 2 days a week.
  • After successful completion of the probation period the appointment is terminable by one months' notice on either side.
