BUSINESS SUPPORT ADMINISTRATOR FOR PRIVATE JET SERVICES COMPANY


We have a fantastic opportunity for an experienced, polished administrator to join a thriving private aviation services company in Kent, UK.

This company is a one-stop-shop for UHNW clients who are looking to charter, purchase or service their private jets and they are growing rapidly.

As the company has evolved, there is now a need for a highly competent administrator to oversee the day-to-day administration and organisation across the business and provide competent and efficient support to the Chief Financial Officer.


You will serve as the first line of contact for customer interactions, being the face of the organisation and always exceeding customers' expectations.

You will facilitate the day-to-day operations and the planning with the Business Heads to enhance effectiveness across the business.

You will also implement and manage HR and Health and Safety procedures to manage housekeeping duties to ensure the office operates smoothly.

Our client is looking for an experienced, driven and enthusiastic administrator to join their welcoming team. Usual hours are Monday-Friday from 08:30-17:00 from the office in Biggin Hill, with some flexibility required at times.


Responsibilities to include, but not be limited to:

  • Manage the day-to-day office administration
  • Manage the reception area, including welcoming customers and VIP guests
  • Provide flexible and competent support to the CFO, and be ready to take on new responsibilities
  • Implement a Risk Management process using external resources and working with the CFO to ensure the business is in compliance with all current legislation, specifically Health and Safety, GDPR and a Disaster Recovery Plan
  • Working with the CFO, ensure all of their insurance cover is appropriate and up to date for the various levels of risk
  • Working with the CFO, ensure the Heads of Business maintain up to date HR processes including employment contracts, recruitment, holidays and sickness records, starters and leavers and manage data on personnel in a confidential manner
  • Under the direction of the CFO, use FSB (Federation of Small Businesses) membership as well as other professional service providers to ensure all HR practices are current, including Employment Contracts, Pensions and N.I. updates from tax changes and support the Business accordingly
  • Utilise external IT Consultancy to manage and maintain IT customer and thirdparty relational database, software updates, security checks, password updates, back up procedures and management of the server
  • Prepare process flows and procedures for all office activities
  • Manage an efficient filing system of company documents
  • Perform data entry, including updating records and databases for personnel, financial and legal information
  • Ensure all forms of correspondence are handled quickly and efficiently to maintain high levels of customer service
  • Manage the process around stationery ordering and supplies
  • Handle all housekeeping issues, facilities management and the boardroom diary, including as Receptionist/Telephonist and Customer Service
  • Support the Business Heads with operational requests, e.g. sales campaigns and mailouts, booking travel, hotels, creating itineraries and similar
  • The role may require flexibility to provide administrative support to the wider stakeholders in the business

Essential Criteria
years' proven office and HR experience working with an executive management team and in customer-facing roles

  • Proficiency with Excel and other Microsoft programmes
  • University degree is an advantage

Salary:
£33,000.00-£35,000.00 per year
