About the Role


The Receptionist/ Front Desk Administrator acts as the gatekeeper for the company both in person and as the main point of contact for inbound calls, ensuring the safety and security of the employees and data held within.

This person must be warm and welcoming whilst also enforcing adherence to strict procedures with regards to entrance into the building and grounds for staff and visitors.

Administration tasks will include liaising with HR and Recruitment, as well as ad hoc requests from other departments.


Responsibilities:


  • Act as physical gatekeeper for the building from the front desk, ensuring only permitted people gain access.
  • Answer the switchboard system to take calls from clients and potential clients, transferring them to the appropriate individuals or departments.
  • Keep the main reception area, and the kitchen area clean and tidy at all times.
  • Daily checks to ensure that all fire doors are clear and unobstructed, allowing for quick and safe evacuation in the event of a fire emergency, adhering to ongoing compliance with fire safety regulations and standards.
  • Act as a gatekeeper by screening and directing incoming calls and visitors.
  • Manage the front door, greeting visitors and ensuring security protocols are followed.
  • Conduct weekly stock takes of office supplies and notify relevant personnel of any shortages or discrepancies.
  • Receive and sign for deliveries and parcels, distributing them to the appropriate recipients promptly.
  • Assist with recruitment administration by obtaining and filing references for new employees.
  • Manage any ad hoc admin tasks given by management as and when needed.
  • Manage access to the company car park.

Essential Skills:


  • 3 years' experience as a receptionist/gatekeeper/administrator
  • Clear and confident telephone manner
  • Strong organisational and multitasking abilities
  • Professional appearance and attitude
  • Proficient in using the Office 365 suite especially, Teams, Word, Excel, SharePoint, Outlook
