To provide an efficient, effective and positive reception service; to greet and welcome patients, visitors, members of the public and staff in a friendly, professional and courteous manner.


To answer telephones in accordance with departmental standards, ensuring that all telephones are answered and that all enquiries are dealt with in an efficient and courteous manner, to record any messages clearly and accurately delivered to them promptly.

To be responsible for the management of the medical records held in renal.

The role of the outpatient assistant is to serve as a contact for patients accessing our services.

The role is therefore responsible for setting high standards of patient care by enacting the Trusts values at all times.


  • Preparing clinics in liaison with the outpatient clinical teams (Nurses, Consultants etc.).
  • Managing clinic capacity (overbookings) in liaison with the clinical team and raising this with line manager.
  • Requesting and tracking medical records.
  • Ensure follow up appointments are booked.
  • Ensure the accurate ordering of bloods for patients as instructed by the consultant.
  • Other specific duties commensurate with the grade of this post.


This is an exciting opportunity to work as a Outpatient Booking Assistant to support the work of the Southwest Thames Renal and Transplantation Unit based at St Helier Hospital.

We are a very busy unit with over 900 patients receiving dialysis, 800 post-transplant patients and we deliver over 30,000 outpatient appointments each year across Southwest London and Surrey.


Working as part of the core administrative team, the post holder will support the provision of the highest quality patient care through dedicated administrative and clerical support and continuous improvement.


Based at St Helier Hospital, the post holder will be the point of contact for all outpatient clinics working closely with the clinical teams within the department.


This is an interesting time to join our unit as we have a number of exciting developments planned during the next two years and our collegiate way of working means that everyone becomes involved in the business of the unit.


  • To provide a file retrieval and prepping service for all outpatient and elective attendances, utilising computerised tracking systems to locate case notes.
  • Ensure patient information is maintained and updated on the appropriate information system.
  • Support patients to book in at the reception desk, by verifying and updating patient details on the system and ensure any changed information is updated in the patient's case notes.
  • Make follow up appointments for patients in line with agreed protocols, ensuring all appointments are booked in line with agreed booking rules.
  • To ensure that patients requiring hospital transport have appropriate transport booked. This will be in accordance with the Trust's eligibility criteria; this will take account of patients individuals needs and ensure the appropriate mobility's are recorded on the system. Discuss with clinical staff/ Ambulance liaison staff if there are any queries or problems associated with transport.
  • Ensure all clinics are fully reconciled in conjunction with the Patient pathway coordinator; all outcomes should be actioned within one working day in line with Trust protocols.
  • Ensure the accurate ordering of bloods for patients as instructed by the consultant.
  • To maintain accuracy and completeness of all electronic records and to follow policies and procedures for the recording of data on the system and to accurately track records on the case note tracking system, thus contributing to the Trust's commitment to sound data quality.
  • To be administratively responsible for the medical records library held in renal and assist with all enquiries.
  • Adhere to NHS data standards and definitions in order to ensure the Trust meets data quality standards.
  • To courteously and efficiently receive all telephone enquiries from patients, carers and external agencies in relation to hospital admissions, appointments and general enquiries, ensuring that accurate records, both manual and electronic, are maintained and appropriate action is taken in a timely manner.
  • To receive incoming paper correspondence, ensuring it reaches the appropriate place within the required deadlines.
  • Maintain an accurate and up to date filing system, ensuring accuracy of patient case notes.
  • Attend meetings relevant to the role as required.
  • Deal with patient requests/ concerns promptly to prevent the hand off of the request to other areas, escalating concerns or complaints to the appropriate Team Leader.
  • Action any change in patient's personal details, ensuring electronic data is kept up to date.
