Description

To ensure responsible for ensuring confidentiality is maintained, in accordance with the Data Protection Act, Trust Policy and Good Practice.

To manage the timely turnaround of investigations and results system and maintain appropriate, bring-forward and follow-up systems associated with patient investigations and results and prescribing needs; to ensure the continuity of patient clinical care within set timescales and adhering to Trust guidelines, policies and procedures.

In accordance with the Patient Access Operating Procedure, recording referral letters and internal requests; inputting information onto the Electronic Patient Record waiting list, maintaining an audit trail via weekly allocation review meetings including validation of waiting lists.

To assist in caseload monitoring for new patient referrals bringing to the attention of the Consultant patients who DNA' d, are approaching waiting time breach, and patients waiting for first clinic appointment.

To accurately record and maintain patient's information in relation to ethnicity, address, contact numbers and alerts on the Electronic Patient Record system as appropriate.


Acting as a focal point for the Consultant and medical team; liaise between patient/parents and the associated clinical team via face-to-face, telephone and written communication instigating appropriate action accordingly, as befits the sensitive and complex nature of the information involved, communicating in a timely and effective manner.

Typing of day-to-day correspondence and medical reports and effectively co-ordinate the production of clinical and non-clinical reports, manuscripts, legal documents and complaints, in accordance with Consultant/Trust requirements using a PC with Windows based software, Excel and Access.


The post holder will be responsible for undertaking a wide range of administrative and secretarial duties, which include the receipt of all correspondence, booking of patient medical appointments, attendance at designated meetings recording accurate notes.

Completion of audio transcription of clinical letters, reports and other correspondence as required by the Consultant Psychiatrist and medical team.

To act as a focal point of contact and be responsible for the dissemination of information, messages and enquires for the medical team, liaising with multidisciplinary team members, other health professionals and staff within the Trust, GP's, Social Workers, Service Users, Carers and any other appropriate external agencies.

You will also help cover when other secretaries within the service are on annual leave.
