Job Purpose

To work as part of a team to provide administration and organisational support to staff and students in the Scottish Graduate School for Arts & Humanities (SGSAH).

In particular, supporting travel and accommodation bookings, updating databases, event support, supporting SGSAH's social media profile, processing expenses and providing other ad-hoc administrative support.

Under the guidance of the Administrator, this role will provide administrative support to a number of staff within the SGSAH.

This is a contract position for two years.


Main Duties and Responsibilities

  • Assist with the provision of administrative support for responding to queries from prospective students, current students, funding bodies and partners in order to deliver a high quality of service to these stakeholders.
  • Provide assistance with the administration and organisation of SGSAH's training events, student placements and internship opportunities.
  • Provide assistance with the maintenance of student information for use in reports to SGSAH staff and external stakeholders.
  • Process all expenses in adherence to the University of Glasgow's Expenses Policy.
  • Assist with administrative support for meetings to ensure effective support for the committee clerk and committee members.
  • Assist with creating and publishing content for SGSAH's webpages, intranet, newsletters and contribute to reporting mechanisms as required.
  • Support SGSAH's digital content and social media initiatives across platforms such as Twitter, Instagram and LinkedIn.
  • Provide assistance with general administrative support (e.g. scanning, photocopying, responding to telephone calls, checking travel claims, ordering stationery supplies) contributing to the smooth operation and management of the Office.
  • Undertake other duties as assigned by the Administrator of the SGSAH.

Knowledge, Qualifications, Skills and Experience

Knowledge/Qualifications

Essential
A1 Standard Grade (1-2) or equivalent in English and Administration or Business Management.

B1 Higher or Intermediate 2 or equivalent in English and Administration or Business Management.


Skills

Essential
C1 Good interpersonal and communication skills.
C2 Good level of accuracy and attention to detail.
C3 Good organisational skills.
C4 Ability to use initiative and work proactively with some supervision and managerial guidance as required.
C5 Ability to work as a member of a team.
C6 Ability to work on a number of projects and to meet deadlines.
C7 Discretion and the ability to maintain confidentiality.
C8 Willingness and ability to learn new skills and technologies.


Experience

Essential

E1 As this is a training post, no formal experience is required, although some experience in using computers and in dealing with people from school activities, hobbies or volunteer/part-time work would be helpful.

E2 Must be able to demonstrate that you would benefit from both the work experience and qualification element of the programme.


Job Features
Planning and Organising

Assistance will be given initially to plan and prioritise own workload according to the office needs, ensuring that duties are completed by deadlines where they have been set.

Prioritise own workload and ensure that deadlines are met, initially under the guidance of the Administrative Assistant.
Deal with enquiries, knowing when to pass on more complex and specialised queries to other colleagues.


Internal/External Relationships
Work appropriately with sensitive and confidential information.
Communicate daily with the administrative team about associated tasks and duties.
Communicate with a variety of individuals throughout the University of Glasgow and elsewhere in the SGSAH consortium.


Problem Solving

Identify and respond to client enquiries relating to areas of responsibility, within appropriate guidelines and procedures, referring requests outside knowledge base to appropriate colleagues.


Terms and Conditions
Salary will be Grade 2, £20,400 per annum.
This post is full time (35 hours per week) and fixed term for up to 2 years.
