Description

Chrome Productions is looking for an experienced, highly efficient, and resourceful Executive Assistant to support our CEO on a day-to-day basis.

This will include all aspects of managing a senior executive, including scheduling meetings and travel, organisingevents, shadowing calls and meetings, following through on deliverables, and acting as the gatekeeper to the CEO.

In addition, the Executive Assistant will take on general office management, working directly with the Operations team.

Roles and Responsibilities:


  • Acting as gatekeeper to the CEO, protecting his time, and keeping him on track
  • Anticipating CEO's needs and being proactive about problem solving
  • Keeping CEO well apprised of daily, weekly, and monthly schedule as well as long term goals and strategy
  • Focusing CEO's todo list and working with him to action tasks
  • Prioritising tasks and following through with CEO to ensure todo list is organised and that tasks are completed
  • Taking on tasks, presentations, and communications as directed
  • Managing calendar and meetings promptly and efficiently
  • Scheduling and conducting effective running of meetings
  • Preparing agendas and materials on behalf of the CEO when asked
  • Taking meeting minutes as required, tasking participants with their followup, and ensuring all action points are executed
  • Managing communications (internally and externally)
  • Communicating confidently, clearly, and professionally on the CEO's behalf
  • Ensuring all correspondence is addressed in a timely and professional manner
  • Booking travel, accommodation, etc. (business and personal) as well as anticipating any other needs related to the journey (car hire, dinner reservations, etc.)
  • Organising key team activities such as away days, offsite meetings, and parties, including (but not limited to) booking venues, coordinating travel, organising catering, etc.
  • Effectively tracking and managing costs and expenses and liaising with the Finance team on invoicing
  • Developing strong working relationships with all members of Chrome and providing support to the leadership team as necessary
  • Acting as the eyes and ears of the CEO
  • Ensuring smooth daytoday running of the office, including (but not limited to) answering phones, greeting visitors, accepting deliveries, and maintaining office supplies, etc.
