We are looking to recruit a Receptionist to join our Head Office Team based in Edinburgh reporting to one of our Personal Assistants.
The role requires a motivated, 'hands on' colleague who will ensure that an effective level of administrative support and customer service to both internal and external stakeholders is provided at all times.
Duties will include:
- Welcome visitors and announce them to host
- Manage meeting room calendars
- Deal with incoming and outgoing mail
- Arrange courier deliveries as required
- Order all tea and coffee etc. for kitchen and manage stock
- Ensure Meeting Rooms are stocked up
- Tuck Shop management
- Arrange Annual PAT Testing
- Order Stationery and Materials for the Office and Group Staff
- Carry out Desk Top Assessments and follow up on requirements
- Maintain relationships and manage contracts with external stakeholders, e.g. landlord and building manager, suppliers, cleaners
- Ensure the agreed planned maintenance programme is carried out in accordance with the timetable and the register is kept up to date
- Take part in SHE & external audits
- Update and maintain the Office Management Plan
- Review and update H&S Policies and ensure they are observed
- Manage Office Budget and Forecast with Accounts
- Participate in tenant meetings
- Manage First Aiders and Fire Wardens
- Organise any repairs or works in the office and ensure all the Risk Assessments and Method Statements are valid in advance.
