We are looking to recruit a Receptionist to join our Head Office Team based in Edinburgh reporting to one of our Personal Assistants.

The role requires a motivated, 'hands on' colleague who will ensure that an effective level of administrative support and customer service to both internal and external stakeholders is provided at all times.


Duties will include:

  • Welcome visitors and announce them to host
  • Manage meeting room calendars
  • Deal with incoming and outgoing mail
  • Arrange courier deliveries as required
  • Order all tea and coffee etc. for kitchen and manage stock
  • Ensure Meeting Rooms are stocked up
  • Tuck Shop management
  • Arrange Annual PAT Testing
  • Order Stationery and Materials for the Office and Group Staff
  • Carry out Desk Top Assessments and follow up on requirements
  • Maintain relationships and manage contracts with external stakeholders, e.g. landlord and building manager, suppliers, cleaners
  • Ensure the agreed planned maintenance programme is carried out in accordance with the timetable and the register is kept up to date
  • Take part in SHE & external audits
  • Update and maintain the Office Management Plan
  • Review and update H&S Policies and ensure they are observed
  • Manage Office Budget and Forecast with Accounts
  • Participate in tenant meetings
  • Manage First Aiders and Fire Wardens
  • Organise any repairs or works in the office and ensure all the Risk Assessments and Method Statements are valid in advance.
