Receptionist


Holly Hedge Animal Sanctuary are seeking a part time Receptionist who is passionate about animal welfare, to work 30 hours a week over 4 days, 7.5 hours a day.

Will include weekend working

Applicants must be conversant with Microsoft Word, Excel, CRM systems and have good general IT skills. Knowledge of animal welfare and re homing preferable, but training will be given to the right applicant.


Someone with empathy and understanding both with people and animals is essential, as well as being able to work as part of our dedicated team.

The pay rate is National Living Wage (currently £10.42 per hour).


Main Responsibilities and Duties

  • Ensure Vet Checks and Home Checks are dealt with as a priority, and all paperwork is in order before the animal leaves the Sanctuary.
  • Scan all adoption paperwork so electronic copies are logged on the database.
  • Ensure all After Checks have been carried out and documented.
  • Maintain accurate Database records of Holly Hedge animals, past and present including
outstanding Neutering/Inoculations/Training for adopted animals and arrange for follow up either in writing, by telephone or a visit.

  • Add new cats/dogs to website once write up completed by cattery/kennel staff.
  • Match prospective owners to dogs and cats suitable for their circumstances.
  • Ensure that all procedures are followed to enable the office to run efficiently and effectively.
  • Follow all up to date GDPR legislation
  • Maintain backup of Sanctuary information held on computers.
  • To communicate and be involved in meetings with animal welfare staff relating to the care and rehabilitation of Holly Hedge animals, and their re homing.
  • To build a rapport with volunteers and make them feel welcome and appreciated.
  • Seek to resolve any complaints from public received, both verbally and in writing.
  • To be aware of and comply with Health & Safety guidelines.
  • Bring to General Manager's attention any emergency situation regarding animals needing to come in urgently, particularly if they were adopted from Holly Hedge
  • Ensure Microchip information is logged correctly.
  • Ensure Pet Plan Insurance is promoted on adoptions.
  • Maintain excellent customer service skills at all times.


OUR AIM IS TO ADVERTISE OUR RESCUES ON THE WEBSITE/SOCIAL MEDIA AS EXPEDIENTLY AS POSSIBLE LIAISING CLOSELY WITH THE ANIMAL CARE TEAM, IN ORDER TO FIND THE BEST AND MOST SUITABLE FOREVER HOMES.

PRIORITISE HOLLY HEDGE ANIMALS IF ADOPTERS CAN NO LONGER KEEP THEM, VULNERABLE ANIMALS ON OUR WAITING LIST AND EMERGENCIES - AT ALL TIMES MAINTAINING EXCELLENT CUSTOMER CARE AND PUBLIC RELATIONS.
