Description

You will be responsible for the day to day running of the administrative functions for the Mermaid Centre and will contribute to the development and maintenance high quality administration processes.

The Deputy Office Supervisor will support the Programme Manger in the delivery and reporting of local and national access targets across every stage of the patient journey.


You should have excellent organisational skills together with the ability to remain calm and collected in a busy and dynamic environment.

You will have a flexible and professional approach to the work and enjoy the variety of communicating with a wide range of people both internal and external to the Trust.


You will be self-motivated, adaptable, have excellent time management and a willingness to learn new skills and take on challenges.

The work is varied, challenging and fast paced, requiring a flexible approach, initiative and the ability to motivate and inspire others.

  • Supervises the day to day operation of the administrative functions of the Mermaid Centre including the Breast Screening Programme for Cornwall (NHSBSP), the screening of women at high risk of developing breast cancer and of the suspected/symptomatic cancer breast service at RCHT.
  • To provide accurate and timely rotas for the clerical staff working across the Department and Hospital sites.
  • To supervise the admin and clerical team and to provide training and mentoring of new staff.
  • To ensure patients are booked within the expected timescales including Breast Screening assessment, Cancer 2ww, follow ups and 6 week diagnostic targets.
  • To deputise in the absence of the Programme Manager for personnel issues, reporting of targets and delivery of the screening and symptomatic administration.
  • Uses knowledge and skills to problemsolve issues arising and conveys complex information and explanations to those with the need and the right to know.
  • To assist with timely update of all QPulse documentation.

Recognised management qualification or relevant experience.

To work closely with the multi-disciplinary team to maintain recognised standards promoting efficient service management.


To monitor targets and raise issues such as shortfall or breaches with the Programme Manager and action measures to resolve problems.

To deputise for the Programme Manager in their absence attending meetings if required

To problem solve day to day issues arising by using experience and knowledge.

To develop an in depth understanding of the NHSBSP and RTT including national cancer targets.

To play an active part in the development and evolution of local protocols and the QMS system.

To provide training and mentor new members of the admin and clerical team.

To organise and adjust specialist clinics as directed by the clinical team to meet service needs.

To work flexibly with the ability to cover evenings and weekends if required

Ability to deal with potentially distressing situations


Comprehensive knowledge and practical experience of hospital and IT systems including Microsoft Office, PAS, MAXIMs, RADAR with advance keyboard and IT skills.


To supervise and manage the Mermaid Centre Clerical Team to ensure service delivery needs are met and informal HR matters actioned swiftly.
