Description

Ensures the smooth administration and organisation of the CEO office, contributing to the overall productivity and efficiency of the CEO and the Senior Management team at RICS.


Key Achievements & Responsibilities

  • Extensive and proactive diary management, meeting and travel arrangements
  • Organise internal and external meetings (agendas, arrangements, meeting notes, follow up)
  • Ensure that all followups from meetings and interactions are set in motion each day
  • Working with other members of the CEO's office, proactively ensure that the CEO is fully prepared for all key engagements, providing all necessary communications, briefings and materials for meetings and events.
  • Support the preparation of papers and agendas for various governance committees and other boards as required.
  • Supporting the CEO in key meetings, including Executive Board meeting schedules, agendas and meeting notes. Working with other members of the CEO's office to ensure that agreed meeting actions are followed up with relevant stakeholders.
  • Draft and proofread documents on behalf of the CEO, as required.
  • Manage all business systems and processes on behalf of the CEO, including expenses, PO's, contracts, budgets and people systems admin. Work closely with the CEO and Executive Team on undertaking and supporting key projects and programmes of work.
  • In conjunction with internal stakeholders, design and produce documents, communications materials, presentations and correspondence as required by the CEO.
  • Liaise with other EAs to improve work practices and achieve efficiencies.
  • Personally manage own projects

Experience Required

  • CEO is supported in meeting their KPIs and objectives
  • Total control of the CEO's schedule and correspondence
  • Clear lines of communication with the Executive and other senior leaders established and maintained
  • Effective working relationships with key external stakeholders including Governing Council Members, Presidential team, Chairs of Boards
  • Excellent relationships with the government, universities and other professional bodies
  • Deadlines for internal processes met such as business planning deadlines, performance reviews, objective setting etc.
  • SLA's for responses are agreed and consistently met
  • All documentation prepared and issued is accurate, free of errors and branded appropriately.
Experience / Skills Required

  • Prior experience of Senior Executive / Board level support which has significantly contributed to the productivity and efficiency of key stakeholders
  • Excellent organisation, prioritisation, project management and time management skills in a pressurised environment
  • High level of confidentiality and personal discretion and the ability to represent the office of the CEO in all situations
  • A selfstarter able to multitask, prioritise and work to own initiative and be one step ahead of the needs and requirements of a CEO.
  • First class written and verbal communication skills and prior experience of creating presentation materials, briefings and communications.
  • Strong eye for detail and excellent command of written English
  • A high degree of EQ and the ability to influence, particularly senior stakeholders
  • Proactive, flexible and solutions focused.
  • Strong collaborative behaviours
