Description

The Admin Assistant will be responsible for supporting all administrative processes ensuring efficient operations are in place to underpin the smooth running of the school.

The post holder will report directly to the Head of School, providing high quality support and will be the initial contact for parents, visitors and other stakeholders.

KEY RESPONSIBILITIES

  • To embody the values, vision and ethos of Wilden All Saints CE Primary School and Severn Academies Educational Trust.
  • Assist the Head of School in delivering policy which will ensure high quality and successful outcomes for students and the school.
  • Take responsibility for your own ongoing personal development and growth of expertise.
  • Modelling and promoting the Trust's wellbeing principles.
  • Contributing to the continued delivery and development of the Trust aims as outlined in our 'Pledge'.
  • Championing the professional integrity of the school including supporting the distinctive Christian ethos of
the school.

  • To provide efficient administrative support that supports whole school teaching and support functions.
  • To engage with parents and carers, developing positive relationships that support the development of our young people.
  • To maintain accurate, up to date records.
  • To work with the Head of School to support the implementation of processes across the school.

SPECIFIC DUTIES

  • To coordinate all general administration for the school.
  • To undertake reception duties, answering routine telephone calls, facetoface enquiries and signing in/out of visitors.
  • To respond to matters arising in the front office.
  • To ensure messages reach the appropriate person required.
  • To maintain security of people approaching school via the front door or gate.
  • To assist with pupil's wellbeing and welfare needs, including looking after unwell pupils, liaising with parents/staff etc.
  • To be responsible for First Aid in school, undergoing and maintaining a First Aid Qualification.
  • To assist with arrangements for visits by external agencies, i.e. school nurse, support staff etc.
  • To maintain and collate pupil/staff/stakeholder (Governor) records and reports using official systems (Arbor).
  • To record, maintain and report any absence data for both staff and pupils.
  • To manage daily absence routines, including contacting parents to ensure safeguarding routines are rigorous.
  • To respond to routine correspondence.
  • To organise parents' evening appointments via Arbor.
  • To provide administrative and organisational support for staff, as required
  • To ensure new/leaving pupil administration is completed to a high standard.
  • To maintain parents' packs for children joining/those interested in the school.
  • To form and administer good levels of communication with all stakeholders.
  • To monitor, maintain and update school's social media and website
  • To adhere to confidentiality at all times.
  • Any other duties commensurate with the scale of the post as may be required under the direction of the Head of School or Executive Headteacher.

General Accountabilities

  • So far as reasonably practicable, the postholder must promote safe working practices by employees in school premises/work areas to maintain a safe working environment for employees and service users. These are defined in SAET Health and Safety policy.
  • Work in compliance with the Codes of Conduct, regulations and policies of the Trust and its commitment to equal opportunities.
  • Ensure that output and quality of work are of a high standard and comply with current legislation / professional standards.
