JOB DECRIPTION
Accounts Assistant
ROLE:
XAL Ltd is the UK branch of a lighting manufacturer based in Graz, Austria. XAL
GmbH is now over 30years old and still growing.
The group includes other lighting manufacturers such as Wever and Ducre based in Belgium and Wastberg which is located in Sweden.
We have offices and sites worldwide and the UK office is situated in central London in the trendy area of Shoreditch.
The main role will consist of inputting accounts based data and administrative duties that support the Head of Accounts and other departments as required.
A bright enthusiastic charismatic character with previous knowledge of working in an accounts environment would work well in this post.
XAL Ltd is made up of a small friendly diverse group of 18 that use the office for hot desking throughout the week Monday to Friday.
Other administrative duties will be required, and full training will be given in all areas.You will report directly to:
Head of Accounts
Office Hours: 9.00 till 17.00 Monday to Thursday
9.00 till 15.30 Friday wherever possible
Lunch Break: 30 minutes
Holidays: 25 days plus Bank Holidays (pro-rata for part time)
Shut down over Christmas, average of 2 weeks
3 days taken from holiday quota (pro-rata for part time)

MAIN DUTIES:
Daily accounts data entry onto Microsoft AX (project management software) consisting of the following:
- Processing and posting of purchase invoices onto the ledger.
- Inputting daily EURO exchange rates onto the system.
- Reconciliation of Customer and Supplier accounts
- Dealing with customer and supplier queries
- Sending out customer statements and chasing payments
- Checking credit card and other company expenses before being posted to the ledger.
- Posting bank payments to the ledger.
- Taking credit card payments over the phone when required.
- Reconciliation of customer and supplier statements.
- Quarterly sustainability reporting / WEEE
- Administrative tasks, e.g. regular filing of invoices and supporting documentation.
- Assist the team, with adhoc tasks as required.
- Assisting the Head of Accounts with quarterly reporting, and yearly audit
PERSON SPECIFICATION

EDUCATION
GCSE or equivalent in English & Maths E
NVQ or equivalent in Accounts/bookkeeping E
KNOWLEDGE, SKILLS & EXPERIENCE
Minimum 5 years' experience of working in an accounts office E environment.
Must have good clear spoken English E
Clear understanding of accounts based programs. E
Knowledge of operating an ERP system or equivalent. Eg Microsoft AX D
Dynamics
Must have a good Level of communication both written & Oral and be E able to listen clearly to customer's needs and instructions.
Accuracy.
Experience of taking CC (credit card) payments over the telephone or via D a computer system.
Knowledge and understanding of data input into purchase, sales and E nominal ledgers.
Knowledge of Microsoft office with a good understanding of Outlook, E
Word, Excel
OTHER
Able to work to time sensitive deadlines one regular basis E
Ability to stay calm under stressful situations should they arise. E
