Job Title:
Project Coordinator

Full time, initial 6 month initial contract (with a view to extend to 12 months/make permanent)

The Staff College has been established to support the development of leadership and management capacity in local authorities and their Children's Trust (CT) partner organisations and, through this, contribute to the improvement of locality services for children, young people and families.

We are now looking for someone to join our expanding team.

This role will work with our bespoke team working on tailored projects and programmes and will also add additional capacity and support to other teams where required.


The Staff College seeks to:
- develop current and future leaders
- provide timely and appropriate Continuous Professional Development (CPD) opportunities for all leaders within children's services and partner organisations
- horizon scan and anticipate emerging challenges for local authorities and their CT partners
- support and lead on new developments to meet these challenges
- be instrumental in developing the "collective intelligence" of the children's services community
- respond to systemic and organisational changes in children's services


Job purpose:

Support multiple projects on the Bespoke Team and add additional capacity to other teams where required.


Meeting & Event Support - Coordinating the meetings, making the logístical arrangements for meetings, dealing with incoming queries, and arranging for the formatting, printing and distribution of meeting documents.


Provide administrative support for various meetings, workshops and seminars including venue bookings, sending communications, setting up calendar invites, managing registrations at events, collating meeting documentation, producing event materials as required.

This will also include hosting virtual meetings on Zoom/MS Teams and providing technical support to facilitators and guest speakers.


Make travel arrangements for members of the Professional Faculty of the College as required as well as other ad hoc tasks determined by the Project Manager(s) and/or Operations Manager.


Quality Assurance -Compile statistical and quality information to contribute to the collation of data associated with the activities of the Staff College and VSC Plus Ltd.


Other:


  • Conduct occasional pieces of research, support updates to the website as requested and perform other duties from time to time, including the provision of general administrative support to other colleagues as required.

Effective general project and admin support - The post-holder will provide general administrative support to all functions of The Staff College and VSC Plus Ltd including:
Coordinating multiple projects

Ensuring that projects are on schedule and milestones are being met

Team calendar management

Digital filing

Event facilitation (virtual and face to face)

Taking minutes of meetings as requested

Maintaining filing databases, trackers, records and lists of relevant Contacts Records Management (CRM) systems

Drafting correspondence as required by the Project and Operations Manager(s)

Undertaking any other duties as requested by the Project and Operations Manager(s)


Experience
Experience of working in an office environment

Experience of working in a small team

Experience of using MS Word, Excel, PowerPoint, Outlook and social media platforms.

Experience of working either in events or on projects (desirable)


Skills:

Good communication skills - written and verbal

High standard of customer service

Proactive problem solving and effective delivery skills

Good telephone manner

Capacity to work with focus, having an eye for detail

Able to work confidently without direct supervision
