I am looking for a commercially astute Administrator with strong inter-personal and communication skills with the ability to liaise effectively and confidently with all levels of staff to join my clients' high performing Rentals team.

You will be organised yet dynamic with an aptitude to complete tasks on a right first-time basis. A natural communicator with excellent time-management skills and the ability to liaise with both customer and suppliers simultaneously.


The post holder will report directly to Head of Rental ensuring smooth administration and processing of information relating to the rental fleet in the areas of Legal/compliant events on all vehicles.

Control of all costs relating to scheduling & compliance is also applicable to the role. Ensuring that the rental fleet is managed in line with both operational guidelines along with all legal requirements.

Delivering class leading customer service, controlling all costs, conducting regular quality audits with customer and supplier paperwork, and at all times to lead by example.

To encourage best practice with customer base working within the wider business and to build effective relationships within peer group and other key stakeholders.


Responsibilities:


  • Ensure that all Governance and Compliance requirements are adhered to and all reporting and reviewing activities required by the Regulatory Bodies are carried out to the standards required.
  • Handle all Legal/compliance events on all rental fleet vehicles, in line with customer operators' licence and DVSA requirements, ensuring minimum disruption to customers operation.
  • Responsibility for forward planning all scheduled legal events within relevant set timescales, such as PMI safety inspection, MOT, Laden RBT, Crane Services, Tail lift inspections, LOLERS, Tacho recalibrations, fridge services, thorough examinations, vehicle taxing etc.
  • Conduct rental system activity reports for all vehicles, liaising with customers and suppliers, building a working relationship with all internal & external customers & suppliers.
  • Ensure each vehicle on the rental fleet is correctly set up on in house Rental software systems with all necessary compliance event warnings with correct and timely reminders set.
  • Process all documentation and ensure these are scanned / saved and uploaded in a timely manner on to the inhouse rental systems, use of external data management systems to extract all relevant legal documentations.
  • Ensure that all rental systems are fully updated with accurate and clear information so that we at all times have the correct compliance visibility.
  • Compile, interpret and report back to Head of Rental weekly with compliance overview.
  • Lead on customer breakdowns, logging and deploying to relevant supplier. Raising order numbers and managing each breakdown taken to its conclusion and vehicle no longer VOR
  • Complete initial DVS registration on all vehicles.
  • Deliver class leading customer service and ensure complaints and escalated issues are handled and logged and followed through.
  • Accountable for company assets at all times and safeguard company vehicles.
  • Liaising with Head of Rental, ensure all new rentals have adequate maintenance schedules set up with relevant dealer groups / local garages.
  • Set up R&M packages when requested to do so, working in a timely and prompt fashion with manufacturers.
  • Manage all PCN's received into the business, ensuring representations are made within timescales and recharges are passed onto customers within 24 hours.
  • Assist in the management of suppliers and raising of purchase order numbers, ensuring costs are controlled following company procedures and guidelines also supplier service level agreements are adhered to.
  • Be flexible in approach to work, carrying out any other duties in accordance with the role which may change from time to time.


This is a part-time, permanent role working Monday to Friday at my clients' purpose built site with excellent links to the transport network.
