Description
We are looking to appoint a motivated, organised and engaging individual to work as senior management & student guidance assistant.
Reporting to the executive assistant, you will be supporting the deputy heads, bursar and head of student guidance.
This is a permanent role working 39 weeks of the year (35 weeks of St Swithun's term time plus INSET, and 4 further weeks in the holidays).
Senior Management:
- Support the deputy heads and bursar with calendar and diary management including booking in meetings with staff, students, parents and outside parties as directed;
- Collate, print and distribute documents as and when requested;
- Create halftermly staff duties spreadsheet, send to staff and monitor and chase staff to ensure all duties are filled. Update lunch rotas in dining room on a halftermly basis;
- Book training courses and events as necessary;
- Source speakers for ongoing creation of twoyearly rotational speaker schedule prebooking two speakers per term for parent talks organising event as appropriate including EP;
- Organise professional reviews for teaching, boarding and pastoral staff line managed by senior management, including scheduling and collating responses;
- Issue scholarship letters;
- Maintain/update the Student Wellbeingsite. Respond to requests from DSL for addition of new information, apps, websites, publications, contacts.
- Annual (and incidental) contact to feeder schools to ascertain any safeguarding/pastoral concerns for all new pupils. Creation of electronic form for completion, sending to other schools, collating and chasing responses
- Provide administrative support for parents' meetings and attend parents' meetings as necessary to ensure the smooth running of the evening;
- Research and draft annual term dates for approval before publishing to staff portal and informing relevant parties for school website;
- Provide support drafting reports or with agendas or notes for Council meetings.
Student Guidance:
- Provide administrative support to the head of student guidance including arranging meets with parents, students and tutors;
- Share information in an appropriate and timely manner with parents through the career's newsletter, the portal, social media and SchoolPost;
- Assist the head of student guidance in the planning, delivery and evaluation of careers events across the key stages.
- Collate evidence and support work towards the Gatsby benchmarks and Quality in Careers Standard.
- Lead on the arrangements for the work experience programmes (including take your daughter to work programme)
- Record student destinations beyond St Swithun's on SIMS and the Hub;
- Provide support with information about gap year options including an annual gap fair and creating other opportunities for students;
- Coordinate arrangements for careers related trips and visits.
Salary:
£25,694.00-£27,411.00 per year
