The Bid Writer and Administrator will produce professionally written, high-quality bid content that persuasively articulates System C's offering, maximising our efforts to sell our social care and education products to local governments and healthcare bodies.

Additionally, the Bid Writer and Administrator will undertake key administrative (procurement-related) responsibilities.

These include administering the company's membership of key portals and frameworks and assisting in administering key elements of the company's bids.


Administrative Duties:

  • Locate suitable tender and framework opportunities via weekly tender searches, administer relevant bid alerts and documentation (by downloading, storing, and circulating this), and present key documentation to stakeholders.
  • Help facilitate the completion of all framework and tender opportunities, including coordinating written responses; tracking progress; completing supplementary bid documentation (e.g., commercially sensitive information, insurance, Form of Tender, Standard Supplier Questionnaire etc); and ensuring that bids progress through stage gates in a timely manner.
  • Ensure that all internal stakeholders are sighted on key dates related to tender/framework opportunities, including diarising key dates in calendars and any other relevant software.
  • Administering and managing clarification documentation both presubmission and postsubmission.
  • Assisting with requests from customers for annual updates on insurance/cyber certifications, as well as further documents.
  • Assist in the structuring of tender responses; identifying and articulating key win themes; producing KPIs/lessons learned; and improving bid tooling/processes.
  • Ad hoc activities as required by the Bid Manager.

Writing Duties:

  • Build a strong knowledgebase of the Social Care and Education division's products, services, and USP's, especially in relation to the functional and nonfunctional aspects of our entire Local Government product suite.
  • Produce high quality, completed written tender responses and other salesfocused content to agreed deadlines, using both personal knowledge and information gained from a variety of available sources (including colleagues, our repository of previous responses and external sources).
  • Produce bid copy, both as 'final copy' as well as 'prepopulation' copy, intended for Subject Matter Experts to review and amend.
  • Review and edit internal colleagues' input to tender responses.
  • Help manage the expectations of the Bid Manager over the feasibility and creditability of delivering high quality tender content (i.e., the art of what is possible).
  • Communicate closely with colleagues to ensure the highest possible quality bid is achieved within the deadlines. This includes liaising with various internal teams.
  • Ensure that all new, updated, and highquality proposal content is recorded in the company's repository for reuse.
  • Liaising with the legal team, where applicable, regarding contract documentation.
  • Liaising with providers, where necessary, regarding the services that they supply to support our sales and the bid process.

Further Duties:

  • Provide specialist support to the sales team, based on knowledge of the social care and education product base.
  • Work with colleagues to ensure that customer requirements and market trends are communicated internally.
  • Contribute to quarterly sales meetings.
