Purpose of the post:


  • Ensure that the people of Gwynedd are at the centre of everything we do.
  • Run the Records Centre and supervise the work of the Centre and ensure that the Centre runs smoothly from daytoday. Assist the Assistant Information Manager to develop the records management service.

Responsibility for functions:


  • Maintaining all equipment and tools of the Records Centre.

Main duties:


  • Be responsible for receiving files for storage and deal with customers.
  • Correctly input information about the files in the Records Management System and earmark room for them in the storage area.
  • Deal with customers and fetch files for borrowing and ensure that they are returned.
  • Responsibility for the disposal of records and waste, either by destroying them or in consultation with the Assistant Information Manager, or transfer them to the Records Office.
  • Maintain and ensure the quality of the records on the Records Management System.
  • Daytoday running of the Records Centre and resolve problems or where needed, refer the more intense to the attention of the Assistant Information Manager or senior manager.
  • Produce statistics and reports on the work of the Records Centre.
  • Operate the corporate retention list, in consultation with the Assistant Information Manager.
  • Respond to enquiries and advise on the services of the Records Centre.
  • Order goods and discuss needs with suppliers and receive invoices.
  • Responsibility for petty cash.
  • Assist to train customers (or prospective customers) as needed.
  • Deal with a broad range of staff, including some who are not customers.
  • Present ideas on how to improve the service at the Centre.
  • Ensure that the Centre's confidentiality procedures are implemented in full in accordance with the Data Protection Act 199
  • Ensure that the Centre's equipment works effectively and arrange maintenance as required.
  • Responsibility for selfdevelopment.
  • Ensure compliance with Health and Safety regulations in the workplace in accordance with the responsibilities noted in the Health and Safety at Work etc. Act 1974 and the Council's Health and Safety Policy.
  • Operate within the Council's equal opportunities and equality policies.
  • Responsible for managing information in accordance with the Council's information management standards and guidelines. Ensure that personal information is treated in accordance with Data Protection legislation.
