Job summary:

REGISTRY & TRAVEL CLERK -Royal Airforce Spadeadam is an RAF Station in Gilsland, Cumbria.

RAF Spadeadam is the home of the 9600 acre Electronic Warfare Tactics Range and is run by a mixture of military personnel, contractors, and Civil Servants.

A position has become available for the Registry & Travel Clerk, whose employment will consist of the following tasks.


The incumbent will be responsible for carrying out all registry functions and ensuring the maintenance of all registry documentation, and equipment.

The booking and recording of Duty Travel and Accommodation for RAF Spadeadam personnel

Maintain and act as the custodian for Protectively Marked Documents.


Raise notices to the Information Manager of the protectively marked documents, and registered files, held for more than 15 years.

Raise destruction certificates, for all classified material due for destruction. Classified mail is to be destroyed iaw current regulations.

The registration of incoming and outgoing mail and the dissemination to the intended recipients.

Staff the Registry/Travel Cell Service in SHQ between daily.

Record the receipt and despatch of classified mail.

Monitor the movement of all files on the File Record Card. Record the movement of all classified files in F102. Additionally, send timely reminders to the Station Line Managers of F102 compliance checks.

Raise 262Fs iaw regulations, ensuring that they are signed off by the document owner. On completion of this, the 262Fs are to be sent to the Records Manager.

Co-ordinate and manage the Station's stationary requirement and the placing of orders whilst managing the stock.

Manage, track and log the stocks of removable media within the Registry.

Act as the CP&F purchaser for stationary and IT consumables, and to hold a Debit Card for emergency use.

Provide a laminating service for the suitable and timely requests of Station Personnel.

Provide a shredding service and ensure that the machine is emptied on a regular basis.


Report the Photocopier Meter Readings to the Supplier on a regular basis, and arrange payment for rental and readings as required, using CP&F.


Book business travel and accommodation through HRG for military/civilian personnel using the policy contained in the MOD/Civilian Business Travel Guides together with supporting policy documents JSP 752 and JSP 800.

Keep accurate records of duty travel and accommodation bookings to include authority, approval and costings.

Provide the Business Manager with monthly EPC returns for Travel/Accommodation bookings that cannot be sourced through the Contractor, HRG.
