The Training and Learning Team provide a service for all staff within the organisation to ensure that their statutory and mandatory training needs are met and support colleagues to attend and complete CPD to enhance their knowledge and expertise in their field.


The team are looking for an administrator to help contribute to the compliance efforts and support the team to achieve excellence.

As a team we pride ourselves on being friendly, helpful, knowledgeable and professional to support all hospital staff across both Bedford Hospital and Luton and Dunstable Hospital.

You will be working with all staff including, domestic staff, medical professional, nursing colleagues and staff working within the corporate function including the executive team.


We are looking for someone enthusiastic, friendly and have an excellent work ethic to support the busy day to day work of the Training and Learning Team.


  • First point of contact for Training and Learning enquiries
  • To be competent in the operation of the elements of the ESR system related to training and e-learning. This requires accuracy and sometimes speed when inputting large volumes of data accurately e.g. creating e-learning accounts, updating training attendance and placing enrolments.
  • Support the Trust induction processes
  • Support the Training and Learning team with all relevant and required administration tasks.

General Duties

  • To plan, manage and prioritise own workload to meet timescales and agreed deadlines under guidance from the line manager.
  • To be competent in the operation of the elements of the ESR system related to training and elearning. This requires accuracy and sometimes speed when inputting large volumes of data accurately e.g. creating elearning accounts, updating training attendance and placing enrolments.
  • To respond to general office enquiries (phone or in person), taking ownership of queries, incidents and training requests as necessary and following these through to completion or escalation, as appropriate.
  • To be confident engaging with staff at all levels within the Trust, adjusting communication style, as appropriate, to the needs of the audience.
  • To have extensive keyboard skills including a high standard of accuracy when inputting records / creating elearning accounts.
  • To assist with setting up rooms and equipment in all training areas, ensuring venues are fully prepared in advance of training sessions, and cleared and tidied after events have closed.
  • To check the stock levels of refreshments, training manuals, stationery and other consumer items.
  • To liaise with and assist other members of the Training and Learning Team when the need arises, e.g. cover provision during annual leave
  • To support the Practice Education team with administrative tasks related to training and learning
  • Act as the first point of contact for Training and Learning queries, resolve if possible or pass on to relevant team member.
  • Manage course bookings
  • Monitor course bookings to ensure that they are filled to capacity
  • Collate course materials and prepare delegate packs as appropriate for training events.
  • To assist with setting up rooms and equipment in all training areas, ensuring venues are fully prepared in advance of training sessions, and cleared and tidied after events have closed.
  • Support virtual/face to face learning sessions, including the administration of the course, managing question boxes, breakout rooms and any other administration duties required.
  • Create registers for training sessions and send reminders to delegates a week prior to their session(s)
  • Effectively file course completion records and store appropriately
  • Support managers with training and appraisal data queries
  • To ensure all reported appraisals are input onto ESR to support compliance reporting.
