We have an exciting new opportunity for an Administrator to support the Partner Matters Unit (PMU), based in the A&O Shearman Belfast office.

What you will do

  • This will include:_
  • Supporting the lateral partner recruitment process to include:
  • Seeking panel availability for scrutiny and interviews
  • Compiling associated papers for the Equity Committee
  • Maintaining up to date lateral hire records, reports and tracker and running reports for the team
  • Update and maintenance of relevant sections of partner intranet, including liaison with central management admin
  • Update of associated documents / brochures
  • Admin support for Partner Review and Equity Progression processes
  • Providing responses to the daily adhoc queries received by the PMU
  • Providing support to senior Administrator in London in respect of tracking voting registers, preparing partner paperwork, updating tracker, sending change notifications etc
  • Ad hoc PA support for the PMU's legal team and rest of the team as necessary
  • Maintenance of online filing systems
  • Liaison with local HR support as appropriate

What you will have

  • Proven experience to provide an exemplary administrative service
- highly professional;

  • Strong professional communication skills, both oral and written;
  • Strong IT technical skills intranet design experience would be useful;
  • A selfstarter, proactive and a quick learner with an enthusiastic approach to change;
  • Proven ability to multitask;
  • Attention to detail essential and a proven ability to proof read documents to ensure they are delivered to the appropriate high standard;
  • Ability to forward plan in terms of the information required for key annual processes;
  • Flexibility around hours during peak times in order to meet the full requirements of the role;
