Working Monday to Friday, 39 hours a week, inclusive of paid breaks.

Monday and Friday 8:00am to 3:30pm

Tuesday to Thursday 08:00am to 4:00pm

We have a new opportunity for a highly organised Administrator to join the team at our Rugby Plant to provide an effective administration support to the Production Manager and their Team.

This role is brand new to the plant and has plenty of scope for the right person.


Working with the Production and Senior Management Teams, you will key to improving communication, processes and following up on the actions created at daily team briefings.

You will have experience working in a fast paced production/engineering environment and be able to demonstrate administration skills together with effective communication, organisation and time management skills to multi task a varied workload.

Main Purpose of the Position

To provide effective administration support to the Production Manager and Senior Management. As a highly organised administrator you will have a passion for continual improvement and high standards.


Key Responsibilities:

Provide admin support to the Production Manager, Senior Management and Shift Management.
Point of contact for production management teams.
Attend daily production meetings and take actions, following up where required.
Follow up on actions from meetings, collating information and chasing as necessary.


Support/Cover for Plant Co-ordinator:

Create/maintain and monitor plant/corporate communications - supporting Plant Co-ordinator

Support the Plant Co-ordinator with general housekeeping on site, reviewing, and updating plant information noticeboards/electronic ensuring data is current and relevant.

Support in daily meetings as required - documenting actions and follow up as required/cover for Plant Co-ordinator as required.
Ensure stationary provision in place for plant (ordering and maintaining stock levels) supporting Plant Co-ordinator,
Administer hotel bookings, car hire and transport for visitors to site and Management team attending meetings off site in compliance with company policy - supporting Plant Co-ordinator and covering during periods of absence


Support H&S Manager with various admin tasks as required:
Collect safety cards and record into the matrix
Accident/incident near miss inputting
Monthly reporting Arms/Stats
EHS committee meeting preparation/presentations and take actions at meetings
Create purchase orders for Plant management team as required and follow through for booking in and invoice sign off.
Arrange hospitality (onsite and offsite) including refreshments, transport, and accommodation as appropriate ensuring communication to all parties.

Collect all incoming and outgoing post is dealt with effectively, including managing the franking of post and arranging couriers as necessary.

Point of contact for external call to the site/direct to appropriate team
Maintain and drive improved performance on site by identifying areas for improvement.
Holiday/sickness cover for other support functions when necessary
Maintaining confidentiality in all matters

Any other duties commensurate with the role - this role is new to the plant and will be ever evolving.

Qualifications:

GCSE Maths and English

Languages

English both written and verbal (other languages would be an advantage)

Computer Skills

Excellent knowledge of Microsoft office packages
