Position Summary and Responsibilities:


PURPOSE OF ROLE:

***- The role is based in the Sales Office and reports into the Sales Office Manager who will set and manage daily tasks as dictated by customer and business requirements.- The office environment is fast paced and provides the main point of contact and liaison for a designated number of major accounts and representatives / agents in the UK and Overseas. Duties will cover a wide range and variety of tasks to help achieve a high level of customer service including the accurate and timely preparation of Quotations, input of Sales Orders, material procurement, Export, and other departmental related tasks.


SUMMARY OF RESPONSIBILITIES:


  • Provide a friendly and wellorganized administrative service to the Sales Office and its Customers and Supply Chain
  • Log all incoming customer enquiries & technical leads in a timely manner
  • Preparation of requisitions for materials on receipt of customer orders to meet the schedule and planning requirements and establish lead times for customer deliveries
  • Setting up stock codes for new products
  • Prepare Excel Cost models to calculate prices for quotations
  • Liaise with UK accounts head office to create new customer accounts on the XA system (MRP)
  • Monitor issued quotation validity dates and liaise with suppliers to determine if revalidation is required. Reissue and follow up quotations as necessary
  • The office is now 100% paperless to improve efficiency therefore a well organised system is in place that will be required to be maintained on a daily basis for audit purposes
  • Assist with Export and Shipping administration where applicable
  • Assist with NDA & Contract maintenance where applicable
  • Assist with onsite visits including Denied Party Screening (DPS), reception sign in, ordering lunches, hotel, and travel arrangements where necessary

  • Understanding numeric data, high competence of Microsoft Excel
  • Being selfmotivated, proactive, and extremely flexible as tasks are predominantly driven daily by customers and the business demands
  • Meeting tight deadlines
  • Excellent organisational and communication skills with a courteous and professional approach
  • Being confident, thorough, and collaborative
  • Ability to problem solve and find solutions
  • Ability to use Microsoft Office proficiently, in particular the use of Excel to generate cost models is fundamental to the role and the ability to pick up formulas and link worksheets is essential
  • Very good verbal and written communication skills including strong customer focus

Desirable:


  • Customer service experience (Training will be provided)
  • Microsoft teams to manage tasks (Training will be provided)
