Flexible days to include Monday and Thursday on site

JOB SUMMARY:


To be responsible for undertaking a wide range of secretary administrative duties and the provision of general support to the multidisciplinary team.

Duties include but are not limited to, greeting and directing patients.

  • Answer incoming phone calls, transferring calls or dealing with the callers' request.
  • Manage administrative queries as necessary.
  • Scanning of patient related documentation and attaching scanned documents to patients' healthcare records.
  • Input data into the patients' healthcare records as necessary.
  • Photocopy/Scan patient notes when required.
  • Photocopying documents.
  • Managing meetings/ diary and minutes
  • Liaise within secretarial team to ensure medical reports/SARS are submitted to Medi2data in a timely matter.
  • Liaising with patients and external agencies, efficiently as required.
  • Organising meetings and taking minutes and distribution of minutes.
  • Understanding of the referral processes including the Electronic Referral System (ERS) to assist Medical Secretaries with queries/processing of referrals.
  • Process referrals using electronic referral system (ERS) when needed.
  • Typing letters, reports and associated documentation as required.
  • Opening post if/when needed.
  • To undertake any delegated tasks that are required to help in the smooth running of the department/surgery.
  • Support all clinical staff with general administrative tasks as requested.
  • To be flexible regarding hours when other members of staff are sick or on holiday.
  • Maintain a clean, tidy and effective working area at all times.

Induction Training


On arrival at the practice all personnel are to complete a practice induction programme; this is managed by the Deputy Practice Manager.

Effective communication is essential and all staff must ensure they communicate in a manner which enables the sharing of information in an appropriate manner.

Staff must adhere to the information contained with practice policies and regional directives, ensuring protocols are adhered to at all times.

Staff will be given detailed information during the induction process regarding policy and procedure.
