MPFT Expressions of Interest - 12 Month Secondment
**TEAM SECRETARY / ADMINISTRATOR - Band 4

SPECIALIST EATING DISORDERS TEAM**An exciting opportunity to join the administration team.

37.5 HOURS PER WEEK

Based at Severn Fields Health Village, Shrewsbury.

To provide comprehensive administration and secretarial support to the multi-disciplinary team. Autonomous working requires a high level of motivation, flexibility and excellent organisational skills.

You will have to work to high standards, meet deadlines, collate data develop processes and work streams. You will have to work without direct supervision and manage your own workload.

Accepting and acting upon referrals to the service.

Preparing meeting agendas, taking minutes of meetings, dealing with day to day queries from both the multi-disciplinary team members and patients, whilst working within a flexible admin team set up.


  • Accepting and acting upon referrals to the service.
  • Attend weekly MDT meetings and take minutes, dealing with any subsequent actions.
  • Be able to coordinate meetings and electronic diary management.
  • Provide a confidential and efficient word processing service written by the consultants and clinical team.
  • Be able to use audio transcription equipment and be competent in all Microsoft packages.
  • You will be required to work on your own initiative and demonstrate a willingness to help others and be a key member of the team.
  • You will be expected to be able to prioritise work and meet deadlines in order to fulfil the requirements of the post.
  • Ensure information is communicated appropriately and enquiries are directed correctly.
  • To contribute to the smooth running of the service.
  • You will need to have a flexible approach and have the ability to adapt to changing priorities, along with a commitment to your own development and contribute to a culture of continuous improvement.
  • Excellent interpersonal and communication skills are essential with an ability to deal with sensitive and challenging situations.

Main duties and responsibilities

  • To support and complete administrative tasks to enhance and implement identified service developments.
  • To provide comprehensive secretarial and administrative support to professionals within the multi-disciplinary team.
  • To provide confidential and efficient word processing service, including the preparation of letters, reports, tribunal papers etc from a variety of sources including manuscripts, audio etc.
  • To undertake general office duties as required including filing, photocopying, scanning etc.
  • Logging calls with the Trust's Service Desk for any building repairs, works etc.
  • Ordering of equipment and stationery on the Trusts E-Procurement System whilst ensuring the correct procedures are adhered to and stock levels are maintained.
  • To prioritise and manage own workload to meet the needs and requirements of the service demands.
  • To ensure there is an adequate supply of all necessary forms, information, leaflets etc available for colleagues, services users and carers.
  • Arranging and co-ordinating meetings (internal and external), including liaising with attendees, booking rooms, preparing meeting agendas, taking and typing minutes.
  • To organise patient transport / interpreters for service users as and when necessary.
  • To work within parameters of established procedures, working within volition and to seek advice when necessary.
  • Provide cover for other administrative staff within the service as required (in the event of unforeseen absence, this may require travel to the Stafford base).
  • Follow policies relevant to own role.
  • Is guided by Standard Operating Procedures, good practice and established precedents.
  • Exposure to distressing or emotional circumstances when taking
