- Ensure that administrative and technical tasks associated with technical delivery of jobs to clients are completed in a consistent and timely manner, to maximise the efficient use of professional engineering resources
Key Responsibilities:
- The post holder will report to the Project Delivery Manager for the execution of technical work, supported by the Human Resources Manager for all nontechnical aspects of working at Apollo.
- Understand the needs and expectations of clients and all interested parties.
- Performing their daytoday duties to the best of their ability and in compliance with Apollo's HSEQ processes and procedures
- Other delegated responsibilities as instructed under the guidance and direction of your line manager.
Duties:
- Assist the engineering team in the execution of technical engineering work orders in a fast paced and dynamic multitasking environment. Specific duties will include but not be limited to;
- Assist the engineering team in compiling all client deliverables.
- Ensure all project deliverables meet quality standards through document control, use of current deliverable templates and proofreading ahead of approval for delivery.
- Assist in the development of project deliverable templates as required and instructed, in compliance with Apollo's quality systems.
- Check accuracy of submitted project timesheets and CTR codes ahead of line management approval, bringing anomalies to attention of line manager.
- Assist any procurement requirements in compliance with Apollo's quality systems.
- Raise and issue as appropriate any purchase/work order relating to expediting of project delivery, e.g., for purchase of contractor and subcontractor services, purchase of engineering software or equipment etc
- Assist in production of client progress reports, including preparation of supporting project cost control documentation.
- Liaise with business generation team and line manager to ensure a current and appropriate purchase/work order document is available to invoice against
- Collate project timesheets, expenses and all other supporting documentation required for invoicing milestones.
- Timely preparation of invoices as per agreed milestones for subsequent checking and approval.
- Support business development activity as appropriate under the direction of line management.
- Work will normally be performed at Apollo's offices but there may be requirements to occasionally work in client offices and/or offshore installations under suitable guidance.
- Any other reasonable duty as instructed by Apollo's management team.
