THE ROLE


Reporting to the Hospitality Customer Liaison Executive you will be collating and despatching hospitality packages for Royal Ascot and Ascot Racedays.

This role will be full time working 5 days a week from Monday 20 March 2023 to Saturday 24 June 2023 inclusive.


We have 17 fine dining facilities during Royal Ascot and between 1 and 5 fine dining facilities on any Ascot raceday, all of which are fulfilled and despatched in-house.

Using the Outbox booking system you will provide support for the Fine Dining and Boxes Executive in the lead up to the Royal Meeting.


  • Provide all Royal Ascot Fine Dining ticket production, packing and fulfilment in an efficient and timely manner
  • Liaise with the Sales Administration Executive to ensure that Royal Enclosure badges are written up correctly and dispatched along with the other elements of the package.
  • Working with the Sales team, to ensure any special requests and requirements are adhered to.
  • Ensure stock levels of all hospitality collateral are kept on top of and any low stock items are reported to the Fine Dining and Boxes Executive.
  • Ensure all badges / collateral of value is secured at the end of each working day and stock kept properly.
  • Manage hospitality collections in the Ticket Offices on Racedays including Sunday 2 April, Saturday 13 May and Saturday 24 June.

QUALIFICATIONS /SKILLS AND EXPERIENCE

  • Excellent knowledge of databases, systems, and ticketing portals
  • Excellent oral and written communication skills at all levels
  • Excellent administrative skills, and attention to detail
  • Highly developed customer service skills
  • Excellent ICT skills, e.g. Microsoft Outlook, PowerPoint, Word and Excel
  • Marketing understanding and ability to understand the Brand and its values

  • A good understanding of address formats and postcodes, both UK and overseas
  • An understanding of the events industry and the rhythms in which this functions
  • You will ideally have an understanding of ticketing and CRM systems
  • Good IT skills, e.g. Microsoft Outlook, Word and Excel
