Job description
As a Senior Business Administrator at Building Energy Experts, you will play a crucial role in managing the day-to-day operations of our business.
Reporting directly to the managing director, you will oversee administrative staff, streamline office processes, and foster a positive work environment.
This role demands a high level of professionalism, adaptability, and problem-solving skills, as you collaborate with various departments and teams to ensure seamless administrative processes.
You will build strong relationships with both clients and colleagues to ensure efficient project delivery.You will bring an energy and passion to the role that inspires those in the department and within the wider business.
You need to be a fantastic communicator both internally and with customers, and other stakeholders.About You
You are experienced in managing a wide range of administrative duties and executive tasks, demonstrating an ability to work independently with mínimal supervision.
Essential Experience
- Previous experience in a management role
- Strong organisational and multitasking skills
- Proficient in Google software and Microsoft Office Suite
- Attention to detail and a proactive approach to problemsolving
- Ability to work independently and as part of a team
- Excellent time management
- Excellent written and verbal communication skills
Office Administration
- Manage and lead all administrative staff and activities
- Maintain and organise office files, documents, and records
- Manage office supplies and inventory, including ordering and restocking
- Ensure the office is clean, organised, and presentable at all times
Communication and Coordination
- Serve as the primary point of contact for internal and external communications
- Coordinate meetings, appointments, and travel arrangements for employees
- Facilitate effective communication between different departments
- Handle customer service issues and feedback, actively managing Google reviews
Financial Administration
- Manage overtime and sending payroll information to accountants
- Monitor budgets and cash flow and oversee incoming/outgoing transactions
- Maintain Monday boards effectively, including pipeline tracking
- Chase unpaid invoices to minimise debtor days
- Preparing VAT returns for submission.
- Reconcile all bank transactions.
- Collaborate with accountants to ensure compliance with financial policies and procedures
Human Resources Support
- Assist in the onboarding process for new employees
- Maintain employee records and assist in HRrelated tasks
- Liaise with Harwood HR
- Ensure BREATHE is kept up to date
- Manage holiday allowances and the cycle to work scheme
Technology and Equipment Management:
- Troubleshoot basic technical issues or liaise with IT support when necessary
- Oversee the maintenance and functionality of office equipment
Safety and Security:
- Manage the company vehicles' insurance policies
- Book and oversee company vehicles' servicing, ensure compliance with safety requirements
- Ensure the office is compliant with safety regulations and emergency preparedness
