Apprentice Medical Receptionist/Administrator
Nicholl Street Medical Centre is a busy, friendly practice with around 4000 patients based in the centre of Swansea. We are looking for two full-time apprentices to join our team. Successful applicants will gain the opportunity to work towards a Level 2
Diploma in Business Administration whilst assisting the practice team in its day-to
- day provision of patient services. The Apprenticeship will run in conjunction with a local provider where attendance will be required one day a week at their training centre, with four days (30 hours) per week on site at the practice.
We are seeking motivated, enthusiastic and technically competent individuals who will adapt to the changing role of the traditional receptionist.
This will accompany other front of house tasks such as prescription requests, responding to patient enquiries and liaising with pharmacies and local care homes.
Duties will include administrative tasks and telephone tasks to assist both the clinical and management teams, while meeting the varying needs of patients.
- Answering telephone calls in a respectful and friendly manner, ensuring correct details are recorded and forwarded to relevant personnel as appropriate.
- Welcoming patients on arrival and providing reception desk duties as required.
- Booking, cancelling or rearranging appointments via the electronic clinical system.
- Maintaining an accurate filing system.
- Retrieve and add to patient information contained in medical records eg. change of addresses, dates of specific immunisations along with other administration entries.
- Handle and redirect daily arrival of internal and external mail to appropriate recipient.
- Provide administrative support for the Practice Manager and reception team when required.
- Utilise bespoke software webbased patient request system, patient correspondence database and scanning software.
- Creation of Microsoft Office documents via Word and Excel.
- Ordering of prescriptions on patient request, received both electronically and via telephone.
- Develop a sound understanding of confidentiality and issues/protocols surrounding consent.
- Liaising with local pharmacies and assisting with queries.
- Gain an understanding of the processes involved and importance of audit and patient outcomes.
- An awareness of Health and Safety Regulations.
- Develop a strong working relationship with all members of the Partnership, management, clinical team and administrative staff.
