Job Purpose
The File Support Assistant is to assist with business-critical administrative activities ensuring they run effectively, accurately and to deadlines.
This includes assistance with organising digital files, gathering MI data on legacy systems, file closuresand other legal admin tasks as required by client SLA's and Lexcel requirements.
To be successful you should be able to resolve problematic situations efficiently and have excellent communication and organizational skills.Key Accountabilities
Duties:
- Assist outgoing Partner with labelling and organising digital files.
- Project based activities including;
- Collating client MI from legacy systems
- Driving file closure in accordance with office processes
- Assisting the wider team with legal admin tasks such as digital file organising, payment requests, drafting pleadings and coordinating with third parties.
As delegated by team leader:
- Liaising with parties involved in claims including the insured, Claimant Solicitors and witnesses
- Attending conferences and Trials with Counsel and note taking
- Dealing with routine correspondence
- Dealing with general or straightforward queries
- Telephone chasing activities
Experience, Skills and Qualifications
Essential Skills and Attributes:
Essential
- Experience working in a litigation team
- Experience using a legal Case Management system
- Confident with good telephone and communication skills with people at all levels inside and outside the business
- Good IT skills and experience with MS Office including Word and Excel.
- Good team worker with the flexibility to do what is required to get a result and ensure client service levels are met
- Excellent listening, verbal and written communication skills
- Good client care skills and ability to work to client guidelines
- High level of analytical skills and experience in analysing data
- Experience in Management Information reporting and analysis
Required Soft Skills:
- An ability to organise and prioritise tasks using initiative
- An ability to maintain attention to detail when dealing with repetitive tasks
- Ability to work effectively within the Keoghs Shared values
