About Us:
Position Purpose:
Provide office and building management, front of house reception cover and general administrative support to functions within the company.
Supporting Stericycle at its Leeds HQ site, the position requires management of the planned maintenance and day to day running of Indigo House.
Key Job Activities:
Front of house visitor management, meeting and greeting external visitors at all levels of seniority, co-ordination of internal visitors to the office and dealing with suppliers.
Co-ordination of meetings, appointments, events within the business, encompassing meeting room bookings at Indigo House.
Arranging travel and accommodation for team members across UK&I.
Purchase order administration for general office consumables, including stationary/office equipment.
Assist with facilities management on site, ensure contracts, service is maintained.
Promote a positive organisational image and assist with the promotion of core values.
Book external meeting rooms and conferences (where required), utilising Stericycle's PSL.
Create agendas, prepare and issue minutes of meetings.
Responsible for resolving office management issues raised by team members.
Authorising invoices and submitting expenses.
Maintain the condition of the office and arrange for necessary repairs.
Roll-out of stock ordering process to track tends, minimise spend and duplications and take account of specialist items.
First point of contact for any remedial/reactive works needed on site.
Ensure correct procedures are being carried out - e.g., new starter inductions, building inspections.
Carry out H&S requirements as necessary, such as Fire Alarm Testing / Fire Marshall duties.
Education:
- Required Education: in GCSE
Experience (EMEAA):
Required Years of Experience: 2+ years
Preferred Experience:
Good knowledge & understanding
Previous experience as an Office Manager/Coordinator.
Excellent organisation skills and attention to detail.
Good communication, negotiation and relationship building skills with both team members, suppliers and customers
Ability to manage staff and work autonomously.
Ability to manage time and complete multi tasks in line with timescales.
Ability to work under pressure and multitask.
Demonstrates the ability to be straight forward, candid while setting a professional standard for treating others with dignity and respect.
Excellent working knowledge of Microsoft Office (Word, Excel and PowerPoint).
Self-motivated, confident, reliable, adaptable, positive and enthusiastic.
A team player approach, able to work effectively under pressure and who is looking for a challenge.
A good working knowledge of Facilities Management.
Business sector knowledge.
5 GCSE's including English and Maths or equivalent.
