International Friends (part of the GTI travel group) are leaders in specialised travel for overseas visitors to the UK. We are looking for an Operations Assistant to join our vibrant, Broadstairs based team.
The role is a full time, permanent position. Contracted hours are 37.5 hours per week, with 30 minutes unpaid lunch break.

Shift patterns will be a combination of 5 days in 7, rota'd to work either early (06:30 - 14:30) or late shifts (12:00 - 20:00).

Shifts will include some weekends and Bank Holidays. Rota's are confirmed 1 month in advance with employee requests accommodated where possible.

The Operations Assistant is part of a team that reports directly to the Operations Manager.

They will be supporting the Operations Manager in the first instance, but may be required to perform tasks supporting other areas of the business in peak operation periods.

They will have regular interaction with other departments in the company.


Key Responsibilities:

Overseeing day to day operations for the International Friends Cruise department, to ensure smooth execution of all tours.

Participating in weekly sales meetings to ensure efficient management of tour capacity.

Liaising with external suppliers to book and confirm services.


Providing on phone customer assistance to passengers whilst they travel (during rota'd hours), with responsibility for some out of hours phone cover.


Maintaining outstanding customer service:
investigating customer complaints where appropriate and liaising with Operations Manager to conclusion.

Assist with the ordering of stationery and office supplies when required.

Assist with the checking of supplier invoices to agree payment by accounts.

Cover general administrative duties in the absence of other administrators.

Ad hoc projects as required.


Personal Skills & Qualities:

Excellent computer skills and knowledge of a wide range of packages, particularly Microsoft ExCell & Google Drives (associated programmes)

Can remain focused and organised in a fast-paced environment.

Can forge and maintain good working relationships with external suppliers.

Good communication skills.

Ability to plan workload and prioritise where necessary.

A flexible mindset with an attitude that responds well to change

Confident in directing other team members.

High standard of customer service.
