Job Title:
Sunshine Centre Administrator


Reporting to:
Sunshine Centre Management


Hours/Days 9.15am - 2.45pm (30-minute break), Mondays & Tuesdays

Flexible to include occasional evenings/weekends


Rationale:
In The Sunshine Centre the Administrator forms a valuable resource supporting the children, staff and parents, throughout the centre.


Status:

The Sunshine Centre Administrator is an integral part of the multi professional team based at the Sunshine Centre and, as such, is given the respect as all other staff.


Aim:

To provide a high quality, efficient administration service to the Sunshine Centre's Management team and staff and to be the main point of contact, for families and visitors.

To actively promote services and activities within the Sunshine Centre and support other members of the team. To promote/publicise activities or events.


Main Purpose of job:

̈ To provide support to the Management at The Sunshine Centre.

̈ To be the first point of contact for the Children's Centre users and visitors.

̈ To provide comprehensive administrative support to the Sunshine Centre.

̈ To manage and ensure the smooth running of the reception desk, post, telephone, stationery and hospitality facilities.

̈ Produce correspondence and complex correspondence against a framework provided by the Management i.e. reports,

̈ Manage room space bookings daily.

̈ To attend meetings as and when required to take minutes and circulate appropriately.

Key Tasks:

̈ To act as the first point of contact within the Sunshine Centre, welcoming all families and providing a 'meet and greet' service to all visitors.

̈ To provide an efficient administration service to the Sunshine Centre team.

̈ To provide an accurate, well organised and efficient administration service.

̈ To support the Managers in ensuring that the centre is open from 08.00am to 6.00pm if required by working on a flexible basis.

̈ To manage a welcoming reception area and ensure all literature/information is relevant, up to date, accessible and kept tidy.

̈ To undertake the ordering of stationery, equipment and resources as required by the centre. To monitor orders and the delivery of goods.

̈ To take payments, provide receipts and to balance the account on a daily basis. To keep accurate records of cash and income received for audit purposes.

̈ Contribute to the overall ethos/work/aims of The Sunshine Centre.

̈ Update Sunshine Centre databases and monitor attendance profiles, registration and contact details etc.

̈ Produce recruitment correspondence and documentation with The Sunshine Centre Management.

̈ To ensure you have an understanding (appropriate to your role) of and comply with The Sunshine Centre's procedures for promoting and safeguarding the welfare of children and vulnerable adults.

̈ Arrange for the appropriate maintenance or repair of Sunshine Centre equipment.

̈ Be aware of and comply with all policies and procedures especially relating to child protection, health and safety, confidentiality, inclusion and data protection, reporting all concerns to the appropriate person.

̈ To attend training as required and take up opportunities for learning and development as identified in personal development plans and actively participate in team development.

̈ To undertake such other duties as may reasonably be required by The Senior Management and/or The Directors of the Centre. Such other duties which from time to time may be necessary, compatible with the nature of the post.
