Examinations Officer_

Dame Allan's Schools wish to appoint a highly effective Examinations Officer.

The post holder will be required to undertake duties in relation to pupil assessment data, examination entries and records, to oversee all aspects of internal and external examination administration and to assist with other administrative duties in the Schools.


The post holder will be responsible to the Vice-Principal (Academic) for the administration of all matters concerning internal and external examinations, and to the Principal as Head of Centre.

This role is based within the Senior School based at Fenham, Newcastle upon Tyne.


Key duties and responsibilities

Liaison with examination boards:


  • To be responsible for all aspects of submission of entries for all external examinations to the relevant examination boards;
  • To ensure that computer records of student entries are maintained and to keep accurate records that are appropriately filed as required by the examination boards;
  • To be first point of contact with all the external examination boards;
  • To ensure that examination results are retrieved from the various boards;
  • To act as Centre Administrator for staff access to awarding bodies;
  • To act as point of contact for Joint Council for Qualifications (JCQ) Inspector in the event of unannounced inspections;

Examination organisation

  • To organise the venues, the seating plans and the setting up of the examination rooms prior to the commencement of all external examinations in conjunction with the Vice Principal (Academic);
  • To be responsible for the daily running of public examinations including practical and oral examinations, paying due regard to JCQ instructions;
  • To ensure that all completed examination papers and coursework are collected and dispatched to the appropriate board at the proper time;
  • To oversee and check teaching staff have entered grades as required for assessed coursework;
  • To undertake checking and securely storing examination papers and stationery, ensuring that all examination papers and specific stationery are available when required;
  • To ensure that there is due regard to proper Health & Safety procedures in the conduct of examinations;
  • To scrutinise and authorise all examination payments to awarding bodies;
  • To be present on any day the Centre is notified of results;
  • To deal with problems on the day of the examinations.

Liaison with pupils

  • To produce, collate and distribute examination timetables and other information regarding examinations to students and parents where necessary;
  • To collate all examination results from the various boards and distribute them to pupils;
  • To sort out all clashes and make appropriate provisions for pupils;
  • To organise appropriate briefing for students on examination procedures;
  • Check certificates and arrange for their distribution.

Staffing and liaison with teachers

  • To liaise with Heads of Department on student entries;
  • To collate estimated grade forms from Heads of Department;
  • To play a key role in the recruitment and hiring of supervisors and invigilators and to authorise all time sheets along with the Vice-Principal (Academic)'s approval. To ensure that all teachers who are invigilators are aware of the examination regulations;
  • To organise invigilation rota;
  • To organise and deliver invigilator training in accordance with JCQ instructions for conducting examinations, using training packages from The Exams Office.

Liaison with Principal and Senior Management Team

  • To ensure that all legal requirements regarding examination entries and results are communicated to parents via Principal and Senior Management Team;
  • To advise the Principal and Senior Management Team on changes to the JCQ instructions on the administration of external examinations;

Administrative Duties

  • To assist with other reasonable administrative duties throughout the Schools as directed by the Principal or Bursar;
  • To ensure the required examinations policies are maintained and up to date;
  • To assist in the preparation of the examinations budget.

Confidentiality

  • The examinations officer shall maintain strict confidentiality of all information belonging to the Schools. It is important, and a condition of employment, that all information of any kind is treated confidentially and not disclosed or used other than as authorised and in the proper performance of duties on the Schools' business.

Health and Safety

  • To keep up to date with Health and Safety requirements;
  • Adhere to and promote compliance with Health and Safety Policies;
  • Report any identified defects or other potential hazards to the Bursar's Office.

General

  • To carry out any other duties that may be
