The role in a nutshell


As an Administration Assistant you will support the Senior Administrator at the Academy in the areas of finance, HR, payroll, admissions and the school administration office.

- experience of working in a school office or similar experience
- experience of using a school management information system i.e., Arbor/PSF Financials
- exceptional communication skills
- experience of creating and updating the Single Central Record
- experience of school finance
- an eye for detail
- excellent customer service skills
- have good literacy / numeracy skills.

General duties and responsibilities

Finance

  • Effective administration of all financial procedures, e.g. processing of orders, goods received notes, collation/processing of all school monies.
  • Maintaining the computerised financial system, ensuring that financial deadlines are met as set out by the central finance office along with the detection and correction of errors.
  • Procure goods and services that achieve value for money
  • Ensure effective administration of complex procedures/forms/returns, including those required by the Trust, and other outside agencies.
  • Ensure selection and management of resources.
  • Ensure the cataloguing, preparing, issuing and maintaining equipment for the school inventory.

Admissions

  • Support the Senior Administrator with the school admissions process including, but not limited to:
  • Updating the LA admissions portal
  • Parental communication / correspondence
  • Processing common transfer files for joiners and leavers
  • Maintenance of pupil records within Arbor
  • Data checking and completing returns to the LA
  • Collation and forwarding of pupil files

Personnel Administration

  • Assist in the recruitment process of staff and administer the associated employment procedures devolved from the central HR Department
  • Maintenance of the HR Management Information System for all staff records, including staff absence document authorisation.
  • Prepare the school workforce census.
  • Updating the Single Central Record (SCR) along with associated documents.
  • Administering payroll and contractual changes along with providing associated documents to the HR/Payroll Officer.
  • Taking minutes of HR meetings.

School Administration

  • Administer the reception / switchboard service that is in operation and deal with complex reception matters.
  • Operate and maintain relevant equipment and complex ICT packages.
  • Collate and maintain the pupil/school details both manually and computerised.
  • Provide personal/clerical/administrative and organisational support to other staff including the provision of advisory guidance/response on complex matters.
  • Assist with data input for external examinations and progress data.
  • Ensure the effective completion of returns and reconciliation of queries.

General

  • Support senior staff in undertaking research and obtaining information to inform school decisions.
  • Undertake administration of work experience procedures.
  • Liaison with school health service/pupils/staff/parents in relation to pupil welfare.
