An opportunity has arisen for an enthusiastic and efficient individual to join the Anaesthetics, Critical Care and Theatres administration team and support the delivery of medical staffing services across the Care Group in both Critical Care and Anaesthetics.


Your role will include reviewing all current rotas and processes around rota coordination and identify how these can be streamlined and improved.

This is a full time post working 37.5 hours per week.

Oversee the production of accurate and timely rotas and timetables for medical staff working across the Care Group.

Work with the Service Manager in providing administrative support in relation to the working patterns of medical staff in the Care Group

Escalation of any issues with rotas and Junior Dr contract breaches to Service Managers and Clinical rota leads

Review all current rotas and processes around rota coordination and identify how these could be streamlined and reduce inconsistencies.

Communicate future rotas and any changes to rotas to all relevant parties

Manage the rotas on a day to day basis, ensuring cover is provided in the event of sickness and absence and appropriately deploying staff as necessary


To act as a point of contact for rota queries for all medical, nursing and administration staff within the Care Group.

Support the current Rota Co-Ordinators in Anaesthetics.

To work with the Clinical Rotas Leads and Service Managers to make positive change to current processes ie Annual Leave


To update any lists, spread sheets or databases used within the Care Group as directed by the Service Managers and Clinical Rota Leads in a timely manner; ensuring medical rotas and timetables are available to a minimum of 8 weeks in advance.

Rotas will cover day and night duties.

Assist in the coordination of staffing for any additional ad hoc clinical activity.


Ensure medical staffing absence is communicated to booking teams and relevant nursing staff so that clinical activity can be adjusted in line with Trust Policies.


As directed by the Service Managers or Clinical leads, make arrangements for locum medical cover, booking accommodation and ensuring Junior Doctor's regulations and Locum procedures are adhered to.

To maintain up to date paperwork relating to locum cover.


To ensure all documentation relating to locum payments are processed and maintained inline with departmental and trust policies and procedures.

Record doctor's sickness, annual and study leave as required.


To have a discrete manner at all times to deal with sensitive and confidential issues such as compassionate leave and sick leave; this may be of a distressing nature.

Maintain an up to date knowledge of current Trust policies and procedures particularly relating to Medical Personnel.


To deal with and resolve queries from Doctors regarding annual, study, special, paternity and maternity leave entitlement, terms and conditions etc.


Provide support with the preparation and organisation of local specialty induction programmes for junior doctors, and induction programmes for other grades as appropriate.


Contribute to the on-going review and improvement of local processes; identifying issues and assisting with finding and implementing appropriate solutions.

Dealing with incoming and outgoing mail ensuring confidentiality at all times.

Attend and contribute to team meetings as appropriate.
