The Role

The primary focus of the role will be to manage extensive diary management, complex travel arrangements and acting as an initial point of contact for all enquiries and guests.

You will be calm under pressure, have a problem solving attitude and proficient with multi-tasking.

Job Duties

  • Complex diary management, scheduling meetings in multiple time zones and effectively resolving scheduling conflicts
  • Coordinating complex travel, meeting schedules and itineraries
  • Preparing, reconciling and submitting travel and corporate expenses
  • Meet and greet, liaising with visitors including inter alia, analysts, shareholders, lenders
  • Maintaining relationships with internal and external stakeholders at senior level
  • Dealing with enquiries in the first instance directing as necessary
  • Work on presentations for the senior leadership team
  • Preparing and distributing information packs and presentations
  • Collating documents ahead of meetings
  • Providing ad hoc cover and support to other senior leaders as required
  • Providing support on technology e.g. for presentations video/tele conferencing
  • Ad hoc duties as required
Risk Responsibilities

Ensure that you understand the risks and controls on your department; what could go wrong, what controls you have to prevent/detect or contain these.

All staff have defined risk management responsibilities. The Group imposes additional responsibilities on line-managers and senior managers. It is critical that all staff discharge their risk management responsibilities when undertaking their role.

Specific responsibilities are incorporated into employee objectives, and your performance against these objectives will be assessed as part of the firm's performance management process.

You will also be required to confirm that you have discharged your risk management responsibilities through the annual risk management attestation process.

Knowledge

  • Understanding of the business, its structure, current developments and projects
  • Solid understanding of a fast paced PA/EA position
Experience

  • Previous PA/EA experience, preferably within financial services
