Monday to Friday, 375 hours per week

Mixture of working from home/on site in Birmingham
Travelling for work purposes:
Birmingham based, occasional travel within the West Midlands
Job Duties
- Ensure effective programme administration support is in place in support of the Programme
- The post holder will work closely with the Programme Management Office to develop, update and coordinate project documentation and reports, mobilisation plans, including working with all Partners to ensure all requirements are met
- The post holder will manage the administration of the Programme Boards, Workstream meetings and where it is needed the creation of new Task and Finish Groups working closely with the Programme Management Office and Operational Leads.
- Manage and support communication and engagement activities
- Ensure all arrangements are in place to achieve effective running of meetings including agendas, previous minutes, risk registers, financial reports, project programmes and follow up of actions arising
- The post holder will be expected to build effective working relationships at all levels with key stakeholders
- To implement and propose changes to practices and procedures for own area
- To initiate and development systems and processes to support the smooth running of the programmes administrative function and ensuring all actions are followed up. The post holder will be expected to use initiative and prioritization
- To organize and coordinate meetings including sourcing of suitable venue, time, equipment
- To provide minute/ actiontaking at meetings, ensuring typed notes are circulated to attendees
- To ensure all documentation is produced to an excellent standard
- To undertake photocopying and distribution of papers as required
- Take a lead in the organisation of internal and external meetings/workshops as required including booking venues/virtual events, securing time in delegate diaries, liaising with the administrators and adjusting plans when required and issuing meeting invitations
- The post holder will administratively support the contents of the programme ensuring all documents are in order and kept up to date
