Key accountabilities, duties and responsibilities:


Projects

  • Prepare reports and analyse statistical information on project timelines and financial tracking as requested to make recommendations and to support the business' to make decisions on future EP priorities and requirements
  • Be the main point of contact for coordinating and placing project related orders across the business
  • Provide training to both the Central Services and EP admin teams and information about the project management process
  • Develop template documents and guidelines for staff across the business to use and incorporate changes in line with legislation and national procurement initiatives in a timely manner
  • Chair project review meetings to assess progress on projects which are in motion, and take detailed notes to share in project management systems
  • Chair regular meetings and record decisions (e.g. assigned tasks and next steps)
  • Break projects into doable tasks and set timeframes and goals
  • Create and update workflows aligned to each project
  • Prepare and provide documentation to internal teams and key stakeholders
  • Retrieve and research any required and necessary project information (e.g. user/client requirements and relevant case studies)
  • Monitor project progress and address potential issues with the main project lead
  • Coordinate quality controls to ensure deliverables meet requirements
  • Act as the point of contact for all participants
  • Support the creation and coordination of Development Application Forms across Brunel
  • Coordinate the project team to achieve project tasks on time
  • Record and track project finances in collaboration with the Finance Team
  • Record and track project risks providing risk reports and ensuring all risks are captured understood
  • Provide guidance and training across the business and UET to enable compliance and continuous improvement of project processes
  • Maintain the business and UET overall programme providing information and report to highlight risks (Financial, Resource, Time) and maintain a 5 year view

Additional role requirements

  • Undertake projects and initiatives as directed by the Executive Leadership Team (ELT) in order to support the work of the Central Services Team
  • To undertake any reasonable work requested by the line manager as part of the role
  • Build strong and influential relationships across the business by providing a valueadded service
  • To perform any adhoc duties at the discretion of the DO
  • Share processes and best practice to all teams to enable efficiencies
  • Keep up to date with professional standards and personal development

Customer Experience

  • To provide a courteous, professional and knowledgeable point of contact for Central Services, promoting a positive image of the business at all times to both internal and external customers
  • To provide proactive feedback driven services
  • Work with EPs to create a 'one team' approach to managing procurement and contracts
  • To ensure that all work and responsibilities associated with this role are carried out to the highest quality and including timeliness and maintaining confidentiality at all times
  • Manage heavily competing priorities in a highpressured environment
  • Work collaboratively as part of the wider team ensuring the business strategy and objectives are followed and implemented to the best of your ability
  • Always seek to understand the requirements and work alongside stakeholders to provide a proactive service built on shared ownership

Other Duties


Please note that this business is based over several sites in and around the Swindon area and you may be required to work from different sites, including from home.
