Purpose of the Role


A customer facing role touching all aspects of the site based services relating to the day-to-day running and maintenance of The Heart.

The Development Adminstrator role involves liaison at many different levels and the ability to interact effectively withthe site team, retailers, residents, property owners, visitors, key town stakeholders, and act as Managing Agent interface.

The role includes management of the residential concierge team. Reporting to Centre Manager, the Development Administrator will ensurea co-ordinated approach to property management across the scheme.

Key Responsibilities

Main Duties

  • General
  • Liaise and report into the Centre Manager to ensure a coordinated approach to property management across the whole scheme.
  • Ensure that The Heart is managed in a proactive and customer focused manner which exceeds client and occupant expectations and is ahead of benchmarked estates in terms of the services and value that it offers.
  • Ensure compliance with the Property Management Agreement, KPIs, industry best practices and statutory obligations, and Savills Property Management Policies and Procedures.
  • Develop and maintain good relations with The Heart stakeholders, including the Developer, Landlord,and any Resident Association, commercial liaison or other organisations.
  • Support and contribute to occupiers communications channels as required and ensure up to date information is provided to enquiriers at all times.
  • To understand and ensure adherence to, on behalf of the Landlord and owners, the obligations within the occupier (residential and commercial) lease agreements.
  • To adhere to Savills Health and Safety policies, Cash Handling and Petty Cash procedures.
  • To act as main meetandgreet in the Management Offices, to include distribution of post, and answering telephones, maintaining filing systems, ordering stationery, reconciliation of income and banking; working on Proactis entering Accounts onto spreadsheetsand paying through ECS, IT Administration, Security Access Administration.
  • Updating Compass with all requested and relevant information.
  • To ensure at all times that you and the team have the resources, support and advice needed to deliver a consistently excellent service.
  • Ensure that high standards of property presentation are achieved and maintained at all times
  • Ensure best value is being achieved by analysing, auditing and proposing improvements to the existing property management systems in operation
  • Create and maintain an effective working relationship with existing suppliers
  • Ensure and implement best practice whilst ensuring safe working practices are complied with at all times
  • Ensure appropriate clear communication lines are established and maintained
  • Carry out any reasonable duties as required by the Savills Management team and the Centre Manager.
  • Residential
  • Be responsible for the delivery of the residential customer service function by The Heart management team.
  • To be the first point of contact for residents queries.
  • Liaise with the Operations Manager with regards to resident queries and seek feedback in order to keep residents up to date.
  • Conduct regular walk arounds of the communal areas and report any works required to the Operations Manager.
  • Raise orders on Proactis and code invoices on Compass.
  • Where maintenance works have been instructed to ensure that these are monitored and checked when completed
  • Lead, manage and develop the in-house concierge team and outsourced service providers to ensure Concierge services are managed effectively in conjunction with or support from relevant Savills HR, Finance, Procurement, Technical, Sustainability or otherdepartments as may be required.
  • Carry out the line management responsibilities including setting objectives, identifying training needs, performance reviews, and salary recommendations for direct reports.
