About The Role:
Vacancy for a Commercial Support Administrator to provide an efficient, professional business management and improvement support to our Healthcare & Education contracts, Soft/Hard Services including 3rd party suppliers and support other contracts when required, delivering commercial compliance, detailed reporting, strategic planning support and working in partnership with the Commercial Support Manager.
Main Responsibilities
- Maintain efficiently and effectively administration tasks, commercial duties, reporting requirements and any account related planning or support activities
- Work in partnership with the Finance Business Partner to ensure sharing of best practice and consistent financial reporting, adherence to accounting and OCS policies and any other financial support required
- Communicate effectively and professionally with people at all levels within the business and team members
- Attention to detail to deliver monthly, quarterly and ad hoc reporting with focus on Power BI reports
- Part of the strategic planning team for the account to create and deliver process documents as part of centre of excellence
- Deliver communication plans for current or planned projects
- To deputise in the absence of the Commercial Support Manager
- Production and collation of Contract Compliance information
- Support Managers with Internal and customer reporting
- Support the annual increases with the Commercial Support Manager to all the costing models to ensure compliance
- Compile month end reports
- Ensure databases are compliant, accurate and up to date
- Raise monthly variations, credits and update reconciliation trackers
- Collate and report on payment mechanism
- Prepare reports, minutes, documents, and correspondence
- Support with project regarding costings and commercial agreements
- Support the bid teams when required with tenders and contract increase reviews
Education Level/Qualifications
- Essential
- GCSE Math and English
- NVQ in Administration or similar
- Desirable
- Degree in business administration, facility management, or a related field preferred.
Experience
- Good working knowledge of administrative duties including month end billing procedures
- Experience of financial reporting
- Excellent PC skills to include Outlook, Word, Excel, PowerPoint, SharePoint
- Power BI report creation and delivery
- Process document creation liaising with operations manager, contract managers and suppliers
- Development and implementation of process and procedure
- Creation, development and management of shared storage space
