Support Team Member - Digital Administration

JOB DESCRIPTION


The Boys' Brigade (BB) is an international Christian youth organisation, providing opportunities for children and young people years old) to learn, grow and discover in a safe, fun and caring environment.

Around 1,200 BB Companies (groups) meet in communities across the UK and ROI each week, supported by over 11,000 dedicated volunteer leaders.


Purpose of the role:
To provide direct administration support to all elements of the organisation ensuring the smooth-running of the operational functions.


We are seeking an individual with strong organisational, communication and interpersonal skills, who is confident with managing multiple tasks and digital processes.


Responsible to:
Director for Operations and Support Team Lead


Location:
Hemel Hempstead (HP3 0BL) with some flexibility to work remotely.


Salary:
£21,000 - £23,000 (dependant on experience)


Key Responsibilities

  • To support Senior Management Team (3 members) and Management team (4 members) by managing project data, reports and spreadsheets
  • Keep records and reports up to date to enable effective delivery of specific projects to support volunteers
  • Maintain budgets and monitor budgets relating to the project elements
  • Processing and reconciling expenses
  • Support, reviewing and processing reimbursements
  • Compile reports and data to assist both staff members and volunteers
  • Providing efficient digital administrative and organisational support to volunteers
  • Embed digital processes throughout the organisation
  • Signposting information and resources across our organisational functions
  • Updating digital records, processing data and providing reports.
  • Assisting volunteers and staff in using our membership system (Online Brigade Manager) as we seek to increase usage of OBM.
  • Support the back
- office functions of our online shop through taking orders and dealing with customer enquiries.

  • Dealing with sending and receiving post and deliveries.
  • All other administrative tasks as required.

Person Specification

Essential

  • Excellent interpersonal skills and a good communicator to a range of audiences, including volunteers, staff, trustees and external partners and service providers
  • Presentation skills and customer service knowledge
  • Good verbal and written communication skills
  • Understanding of managing budgets
  • Excellent organisational skills and ability to prioritise workload.
  • Ability to work collaboratively with staff, trustees and key volunteers.
  • Experience of working with and supporting volunteers.
  • Excellent problem solving skills, the ability to research and an aptitude for helping others.
  • Sympathetic to the vision, mission and values of The Boys' Brigade.

Desirable

  • Advanced knowledge of MS Excel (creating spreadsheets and charts using financial Excel functions)
  • Handson experience with accounting software, for example QuickBooks
