We are seeking to recruit a secretary to support Fee Earners in our busy Gateley Capitus team based in Belfast.


This responsibilities for this role include the following:

  • Onboarding new clients to include carrying out Anti-Money Laundering checks, obtaining company and director reports and submitting to fee earners for review.
  • Maintain projects spreadsheet.
  • Prepare engagement letters.
  • Raise invoices and send to client.
  • Maintain workload spreadsheet, add new jobs, update fee figures when invoices are raised and mark off as 'invoiced' once invoices have been sent to the client.
  • Request credit notes when required.
  • Assist with the production of client reports.
  • Prepare/amend PowerPoint presentations.
  • Book travel and accommodation for all members of the team.
  • Expenses manage team expenses reports.
  • Format and issue Board Meeting minutes.
  • Proof read documents.
  • Maintain electronic filing, create new client folders on Filesite.
  • Respond to Ad hoc requests from finance and accounts team.
  • Diary management.
  • Booking meetings and meeting rooms.
  • Booking restaurants.
  • Liaise with and build relationships with Facilities and Accounts.

  • Previous secretarial experience
  • Ability to type, draft and produce documents efficiently, and with ease is essential.
  • Previous experience of document production.
  • Highly efficient diary management skills.
  • Competent working knowledge of Microsoft Word is essential.
  • First class communication skills, both written and verbal.
  • Excellent levels of accuracy.
  • Initiative to learn and ability to selfmotivate.
  • Experience of working under pressure to tight deadlines with the ability to remain calm.
  • Capability to prioritise and multitask effectively, with good time management and organisational skills.
  • Always demonstrate discretion and the ability to always maintain absolute confidentiality.


  • IT skills

  • Microsoft word, typing, case management use, formatting and editing documents.
  • Knowledge of Antimoney laundering compliance checks would be a distinct advantage as would experience gained within a professional services environment.
