Job description:

To deliver a high quality professional administrative service to the Director.

The role involves close working with Executive Directors and Senior Management from DVSA, DfT and its agencies, other Government Departments and external suppliers.

It is a demanding, varied and interesting role and requires someone who is flexible and responsive. They must possess integrity and understand the need for, and exercise discretion and confidentiality.

Responsibilities will include, but are not limited to:

  • Pro-active management of Director's diary and travel arrangements. Maintain free space in the diary to read papers, manage actions and responses that need to be addressed. Manage priorities and clashes.
  • Meet regularly with Director to discuss diary, agree priorities and monitor workload.
  • Identify and monitor actions, ensure updates are sought and documented prior to committees or as required. Draw the Director's attention to any outstanding actions either on themselves or members of their team.
  • Proactive use of Teams teleconferencing where possible to reduce travel and time commitments.
  • Preparation of papers in advance of meetings as required, ensure that all minutes, papers and correspondence are available for meetings at least twentyfour hours in advance.
  • Develop and maintain effective administrative processes.
  • File management, set up and maintain folders on shared drives, collaborative workspaces (eg Sharepoint) and organise access to files and folders.

Person specification:


About you


Organisational skills are imperative to allow you to prioritise work efficiently and successfully work to deadlines, whilst being able to work flexibly and proactively.

You will also have experience of using and a confident user of Microsoft Office suite.

If your current department do not agree to a loan, you will still be offered an appointment on a fixed-term basis but please be aware that if you are not able to return to your previous post this could result in redundancy from the Civil Service on the conclusion of your appointment.
