Cardiff, CF10 5BT


Contract:
Full Time, Fixed Term contract initially for 4 months

Shifts: 35 hours per week, Monday - Friday, 8am until 4pm with 1 hour break


Work model:
Fully onsite


Williams Lea seeks an Administration Assistant to join our team

Purpose of role


The Admin Assistant will join the multi-skilled administration team delivering excellent customer service to the client, through the handling of incoming customer correspondence, including all aspects of batch preparation and scanning (including indexing and filing), and handling outgoing customer correspondence produced by the offshore team.


Key responsibilities

  • To develop a strong working knowledge of all appropriate client processes pertaining to the identification of incoming correspondence, preparing correspondence for scanning, indexing correspondence accurately, archiving documents accurately and handling the return of client documentation and the issuing of correspondence produced offshore
  • To be able to achieve the delivery of the agreed service levels relating to the processes identified above
  • To have the ability to plan and prioritise your daily workload
  • To have an understanding and where possible be able to use the basic IT tools
  • Working with the team to ensure that excellent customer service is being provided to our client, adopting the policy of getting it right first time and every time
  • To help in identifying areas for continuous improvement in quality and process to ensure the service matches the clients end user requirements
  • To ensure any process issues are escalated to the Account Manager promptly in order to support a quick resolution
  • To assist any team members with any reasonable request

Personal attributes

  • Minimum 1 year administrative support experience preferably in a legal, banking or large corporate environment
  • Skilled in the use MS Office software (Word, Excel, PowerPoint); strong keyboarding and typing skills
  • Familiar with other software programs for providing administrative support
  • Strong attention to detail; able to work on multiple projects simultaneously
  • Must have good organizational skills
  • Must be able to meet deadlines and complete all projects in a timely manner
  • Ability to handle sensitive and/or confidential documents and information
  • Able to exercise good judgment to make decisions that conform to business needs and policy
  • Good problem solving skills, with the ability and understanding of when to escalate a problem to a supervisory level
  • Ability to maintain professional composure when working with immediate deadlines
  • Ability to work both independently and collaboratively as part of a team
  • Ability to work in a fast paced environment
  • Ability to communicate professionally both verbally and in writing
  • Demonstrate proficiency in using equipment/technology/software and hardware necessary to perform job functions
  • Must be selfmotivated with a positive attitude
  • Proven customer service skills are required in order to create, maintain and enhance customer relationships
