Due to expansion of the office and increased pupil numbers, the Governors of this Outstanding academy seek to appoint a highly efficient Administration Assistant to manage the home to school transport and support the day-to-day activities of the Admin Team.

JOB DESCRIPTION

JOB PURPOSE:


To be the first point of contact for visitors and callers to the School, ensuring a positive, welcoming impression to all, offering assistance and information when required.

The Receptionist will have excellent inter-personal skills, work calmly under pressure and have a professional appearance.

The role involves the management of home to school transport for all pupils, liaising daily with Cheshire West and Chester and other relevant local authority Transport Sections.


PRINCIPLE RESPONSIBILITIES Within the admin team:

  • Provide a professional, warm and welcoming environment for visitors and telephone enquiries
  • Operating the school switchboard
  • Manage the taxi system used to transport pupils to and from the school and resolution of any daytoday problems with Transport Coordination. Manage the arrival and departure of the taxis at the start and end of day taxi dropoff and pickups.
  • To maintain the attendance records for pupils
  • Overseeing pupils signing in late and signing out when going offsite during the day
  • Communicate with parents and transport re Residential, extended day, after school clubs and after school catchup.
  • Accounting for visitors on site in the event of an emergency evacuation
  • Assisting with group events, such as interview days, managing the arrival of visitors
  • General administrative support helping various departments, as and when required
  • Provide general clerical support, distribution of mail, to ensure the efficient and timely provision of information to staff, parents, pupils and the community.
  • Deal with telephone and face to face enquiries to ensure that all calls/ visitors are handled efficiently and effectively and good relations fostered.
  • Familiarise yourself with all office processes to provide support and/or cover when necessary.

NOTE


Notwithstanding the detail in this job description, in accordance with the Academy's Flexibility Policy the job holder will undertake such work as may be determined by the CFO from time to time, up to or at a level consistent with the Principle Responsibilities of the job and in any location within the Trust.

Monday - Thursday: 08:00 to 16:00 including 30 mins lunch break

Friday: 08:00 to 15:30 including 30 mins lunch break
