My client is recruiting for a hardworking, innovative, and friendly Admin Assistant to work at their primary School. The role is to start from 27th Feb 2023This is a temporary assignment to cover a Maternity leave until the end of the Academic year
This is a part-time position to work 2 days per week Monday and Tuesday 8.45 to 3.30pm
A current enhanced DBS certificate/ subscription to the update service Recent experience working as an Admin Assistant
Duties include but are not limited to:
To provide a comprehensive administrative/financial support service to the Headteacher, other authorised members of staff and Governors, in the areas of finance, personnel and day-to-day support provision to enable the smooth and efficient running of the school.
Secretarial/AdministrationUnder the direction of the Headteacher, to be responsible for all aspects of the day-to-day organisation and maintenance of the school office and procedures
This will include:
- Creating a pleasant reception as first point of contact for parents and visitors to the school; ensuring that visitors sign in and out of the visitors' book
- Dealing with queries and providing general information about the school and school activities for parents, pupils and visitors
- Providing a full range of administrative skills including typing, copying and distributing letters, reports newsletters etc; recording, filing and classification of material and using a word processor/personal computer
- Daily opening and sorting of mail and recording out¬going mail; arranging appointments and maintaining diaries; receiving and handling telephone enquiries
- Assisting in compiling a variety of reports, marketing materials and the School Improvement Plan
- Keeping records of lettings; completing stock orders and checking deliveries
- Dealing with insurance for school trips etc and ensuring risk assessments are undertaken
- Completing the required paperwork for admissions and leavers and maintaining the related staff and pupil records; providing general information for the Head, other teachers, pupils and their parents and parents of prospective pupils concerning the school curriculum, tests etc.
- Completing statistical information and records using the Schools' Information Management System (SIMS)
- Providing necessary statistical work about all the above records for the Head, teachers, Governors the LEA and DfEE as required
- Dealing with timesheets for supply, caretaking, cleaning and midday staff and any other such staffing issues
- Being responsible for and maintaining all financial records
- Completing and balancing returns for the LEA and DfEE e.g. Form 7, EP
- Keeping and producing ledgers for annual external audit
- Providing budgetary information as requested by the Head, Governors and the LEA
- Preparing, in liaison with the finance section of the LEA, the final school budget
- Holding petty cash and imprest accounts and conducting the associated payments and receipts
- Administering and banking all school monies e.g. dinner money, voluntary contributions for school activities, music lessons etc
- Coding, verifying and forwarding invoices, travelling expenses and other claims for payment
- Ensuring that equipment/books and general supplies for the school are obtained from the most costeffective source in line with school requirements and being responsible for ordering systems.
- Liaising with caretaking staff over minor repairs to school premises and arranging repairs where necessary, either through external contractors or internally.
- Keeping appropriate, up to date records of maintenance work carried out in the school and managing the devolved maintenance budget to ensure the school premises are kept in a good state of repair and decoration
- Controlling the letting of school premises, including publicity to maximise earned income, and keeping record of lettings
- In liaison with the Head and Governors, handling administrative procedures relating to the appointment of all staff
- Liaising with the LEA over staffing matters of an administrative nature, ensuring that timesheets and other staffing returns are completed and returned appropriately.
- Assisting with pupils' welfare, including ensuring sick and injured children receive appropriate attention and that parents are informed.
- Liaising with medical staff/welfare officers and arranging medicals, school dentists, vaccinations etc.
- Completing and forwarding weekly absence returns
- Organising day to day activities within the office; keeping to required deadlines; maintaining confidentiality and exercising sensitivity and tact
- Performing any other duties connected with the school as specified by the Headteacher that are appropriate to the post and grade
